Responsibilities:

As a Working Student in Business Administration, you will have the opportunity to support a senior executive at SAP with daily operations, ensuring the seamless management of their schedule and key administrative tasks. This role offers a hands-on experience in a fast-paced corporate environment and provides a unique insight into how high-level business decisions are made and executed.
Your primary responsibilities will include calendar management, executive meeting coordination, offsite meeting planning, and travel management. You will play a crucial role in ensuring the executive’s day-to-day tasks run smoothly by handling administrative duties and supporting the organization of critical events. This is a great opportunity for students interested in gaining real-world experience in business administration, event planning, and executive support.
Key Responsibilities:

Calendar Management: You will be responsible for managing the executive’s calendar, ensuring that all appointments, meetings, and calls are scheduled efficiently. This includes coordinating with internal and external stakeholders to find suitable meeting times across different time zones, as well as proactively identifying potential scheduling conflicts and resolving them. Your attention to detail will ensure the executive’s time is well-organized, allowing them to focus on strategic tasks.

  • Executive Meeting Support: As part of your role, you will help organize and prepare for executive-level meetings. This includes preparing meeting agendas, gathering relevant materials, and ensuring all participants are informed of the meeting details. During meetings, you will take notes, track action items, and ensure follow-up tasks are communicated and completed on time. This will give you valuable exposure to high-level decision-making processes.
  • Offsite Event Planning: You will assist with the planning and coordination of executive offsite meetings and events. This will involve tasks such as researching and booking venues, coordinating logistics, and managing all related administrative tasks. Whether it’s organizing a leadership retreat or a strategic planning session, you will be an essential part of ensuring the success of these events. Your organizational skills and creativity will shine as you help plan and execute these key initiatives.
  • Travel Management: Arranging business travel will be another important part of your role. You will manage travel logistics, including booking flights, accommodations, and ground transportation, while creating detailed itineraries to ensure smooth travel experiences. You will be expected to handle any last-minute changes to travel plans and ensure that all travel arrangements comply with the company’s policies. This responsibility offers an excellent opportunity to develop skills in travel coordination and logistical planning.
  • Document and Presentation Preparation: You will assist the executive in preparing reports, presentations, and other business documents needed for meetings and communications. This could involve gathering data, formatting documents, and ensuring all materials are accurate and well-presented. Your contribution will support the executive in delivering high-quality materials for internal and external stakeholders.
  • General Administrative Support: In addition to the specific tasks outlined above, you will provide general administrative support to the executive, such as managing correspondence, organizing files, and tracking expenses.
