Responsibilities

ROLE PURPOSE

The Workplace Administrator is responsible for overseeing the physical, operational, and administrative aspects of the office environment. This role ensures that the office is safe, Administrator also manages the office budget, supplies, equipment, maintenance, security, and vendor relationships, and coordinates office events, office policies, procedures, and communication.

ACTIVITIES AND RESPONSIBILITIES

Office Layout and Design
Plan and implement office layout, design, and furniture to create a functional and appealing work environment.
Inventory and Purchasing Management
Manage office inventory, purchasing, and contracts to ensure adequate supplies and equipment are available.
Emergency and Incident Handling
Handle office emergencies, incidents, and repairs promptly to maintain a safe and operational environment.
Regulatory Compliance
Ensure compliance with health and safety regulations, including first aid training booking and conducting fire alarm tests and drills.
Sustainability
Develop and implement sustainability strategies, monitor environmental performance, ensure compliance, engage stakeholders, provide training, prepare reports, and drive positive impact.
Event and Meeting Coordination
Organise and facilitate office meetings, training, and events to support team collaboration and development.
Fleet Management
Manage and maintain company vehicles to ensure their optimal use and condition and verify authorised users’ driving licenses for compliance.
Stakeholder Communication
Communicate effectively with internal and external stakeholders, including management, employees, clients, and vendors.
Travel and Accommodation Booking
Support employees with using Travel Perk to book UK and overseas travel and accommodation as required.
Waste and Disposal Management
Arrange waste collections and other disposals in compliance with environmental regulations.
Stock Level Management
Monitor and manage stock levels of office equipment and supplies to prevent shortages.
Invoice Review and Approval
Review and approve office-related invoices to ensure accuracy and budget compliance.
Guest Reception and Delivery Management
Welcome guests and organise deliveries to ensure a positive and efficient office experience.
General Office and HR Administration
Perform general office and HR administration duties and any other tasks within the scope of the role as required.
Health and Safety Monitoring and Training
Monitor health and safety standards and provide training to ensure a safe working environment for all employees.
