As part of the Workplace Services team, the Workplace Co-ordinator works closely with the Manager to build strong relationships with occupants and resolve issues efficiently. The position is multi-functional, involving contractor engagement, administrative duties, and clear communication. It may also include basic maintenance tasks and support for non-technical planned preventative maintenance (PPMs). Overall, the role enhances service consistency and operational excellence across the site.

Responsibilities
  • Conduct regular checks of Deloitte demised and common areas, proactively addressing issues and ensuring operational readiness.
  • Report building, mechanical, and electrical issues promptly; liaise with the Helpdesk to manage resolutions and keep stakeholders informed.
  • Oversee on-floor storage, signage, meeting room resets, and ensure availability of stationery, IT peripherals, and copier supplies.
  • Maintain high cleaning standards through coordination with housekeeping; manage waste flow, including confidential waste.
  • Act as the first point of contact for occupant requests, taking ownership and ensuring timely resolution with a focus on customer satisfaction.
  • Support health and safety compliance, monitor ingress/egress points, maintain resource stations, and escalate any process gaps.
  • Assist with space utilization checks, manage stock control processes, and support storage reduction initiatives like Paper Lite.
  • Manage daily performance of Mitie teams, liaise with contractors and landlords on maintenance, and ensure service delivery meets KPIs and SLAs.
  • Assist in compiling monthly reports, maintaining emergency contacts, and supporting business continuity planning.
  • Build strong relationships across the business, ensuring adherence to guidelines and escalating non-compliance when necessary.
