To strengthen our Administration department, we're looking for a Workplace IT Specialist who will own and continuously enhance our internal IT landscape, ensuring that employees have seamless, secure, and reliable access to the tools, systems, and devices that keep our business running smoothly. Your Responsibilities User Access & Provisioning Managing onboarding/offboarding access across all tools (Jira, Confluence, O365, etc.) Maintaining role-based access and permissions Ensuring timely provisioning and deprovisioning of accounts Maintaining documentation of system access and ownership Workplace Tools Administration Administering and maintaining of Jira & Confluence, Microsoft 365 (Teams, SharePoint, Copilot, Exchange) and Azure AD / Entra ID Managing Shared mailboxes, distribution lists, and permissions Supporting tool optimization and usage best practices IT Security & Compliance Maintaining and enforcing Password policies (e.g., Dashlane) and Access control best practices Supporting audits and security checks Acting as the first point of contact for internal IT security topics Coordinating with external security/IT vendors if needed IT Support Providing daily support for employee IT issues Troubleshooting common problems with accounts, permissions, tools and devices Maintaining a lightweight ticketing or request tracking system Ensuring fast, friendly, and effective support experience Device Lifecycle Management Owning the full lifecycle of company devices including Ordering, Setup & configuration, Assignment to employees, Repairs & Replacements and Offboarding Maintaining inventory of all IT assets Office IT Infrastructure Ensuring reliable office internet and connectivity Acting as contact for internet providers / hardware vendors Coordinating setup for new office spaces if needed Training & Enablement Organizing and delivering training sessions on Tools (Jira, Teams, etc.) and Security awareness Creating simple guides and documentation for employees Your profile Experience 2–5 years in IT support, IT administration, or workplace IT Experience with: - Microsoft 365 ecosystem - Identity/access management (Azure AD / Okta / similar) - Atlassian tools (Jira / Confluence) Skills Strong troubleshooting mindset Solid understanding of: - User access management - Device management - Basic IT security principles Ability to structure processes (onboarding, access, inventory) Nice-to-have Familiarity with: MDM tools (Intune, Jamf) Password managers (Dashlane, 1Password) Presence in Berlin & valid Work Permit for Germany is necessary!
