JOB DESCRIPTION

Job Purpose: To ensure the effective scheduling of resources to deliver safe, high-quality services with a drive to achieve results right first time, customer satisfaction and maximise productivity. The works programmer will support one of the Business Units within Leeds Building Services and may be required to work flexibly.

QUALIFICATIONS:

No specific qualifications are required for this role although the post-holder must have excellent IT and organisational skills with the ability to schedule resources effectively to maximise productivity and commercialisation of LBS.

ESSENTIAL REQUIREMENTS: IT IS ESSENTIAL THAT THE CANDIDATE SHOULD BE ABLE TO DEMONSTRATE THE FOLLOWING CRITERIA FOR THE POST. CANDIDATES WILL ONLY BE SHORTLISTED FOR INTERVIEW IF THEY CAN DEMONSTRATE THAT THEY MEET ALL THE ESSENTIAL REQUIREMENTS.

  • Able to schedule resources effectively to maximise productivity and commercialisation of LBS.

As our next Works Programmer, you’ll ensure the effective scheduling of resources, customer satisfaction and maximise productivity.

RESPONSIBILITIES

  • Allocate work to trade operatives and sub-contractors ensuring work is carried out effectively and efficiently in line with service standards, targets, and priorities (KPI’s).
  • To action works appropriately. Including raising, varying, and planning of work relevant to service area utilising a variety of means including system job loaders.
  • Ensure that operatives are achieving required levels of productivity and support team leaders and managers in improving performance through activities including but not limited to monitoring and reporting.
  • To administer the invoicing & application for payment process in line with service area processes and via relevant systems e.g., Connect, PSTeam, Civica, CAP, FMS etc.
  • Use all relevant IT systems in line with agreed processes e.g., Connect.
  • To liaise with other programmers and team leaders to ensure the most effective use of materials, workforce and sub-contractors continually driving a value for money, customer focussed service.
  • To organise and distribute standby rota’s for out of hours service provision and make changes where necessary.
  • Undertake ordering of materials, plant and equipment as requested.
  • To undertake administrative duties in relation to obtaining quotations where needed, passing information to sub-contractors and managers where necessary.
  • Monitor performance and provide information to Departmental Managers when required utilising relevant methods e.g., Connect Dashboards
  • To assist with the investigating and resolving of complaints regarding the service in accordance with the Councils Complaints Policy.
  • Ensure appropriate safeguarding reporting procedures are adhered to.
  • Ensuring that relevant H&S information is considered when scheduling work e.g., UDC’s.
  • Ensure that work is delivered in line with Business Continuity and risk management procedures in place in Leeds Building Services.
  • To ensure all activities are delivered in accordance with all legal and regulatory requirements and in line with the Council’s policies and procedures.
  • To effectively liaise with customers, clients, and external stakeholders to ensure all repair related issues are identified and any specific requirements are adhered to. Ensuring an efficient programming service is offered to improve customer satisfaction.
  • To work flexibly across the Leeds Building Service to respond to Service priorities as needed. To be flexible and adaptable to change to assist by undertaking duties as required commensurate to grade.
  • To participate in appraisal, training, and development activities as necessary to ensure up to date knowledge and skills including attending and contributing to regular toolbox talk with operatives and supervisors.
  • Maintain a high level of personal effectiveness and uphold and promote the name and reputation of Leeds City Council and operate in accordance with the Leeds City Council code of Conduct.
  • To ensure effective positive and open relationships with staff and trade union representatives in the working environment supporting people to feel motivated and engaged in the values, vision, and direction of the service.
