ON YOUR RESUME, WE WILL BE LOOKING FOR THE FOLLOWING:

  • Proven 2+ years experience within a corporate office environment.
  • Experience in facilities, fleet, or IT coordination.
  • Basic technical understanding of IT systems, including hardware, connectivity, and cybersecurity, with willingness to learn from our IT provider and coordinate their support.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to collaborate effectively across teams and manage vendor relationships.
  • Familiarity with health, safety, and regulatory compliance for facilities and fleet operations.

Responsibilities

Your day-to-day responsibilities may include:

  • Fleet Management
  • Oversee the maintenance and servicing of the company vehicle fleet.
  • Track fleet usage, fuel consumption, mileage, and repairs to ensure compliance with operational policies.
  • Ensure all vehicles meet licensing, insurance, and safety regulations.
  • Act as the point of contact for fleet-related inquiries.
  • Office Facilities Management
  • Maintain office facilities to provide a safe, comfortable, and productive working environment.
  • Coordinate repairs, maintenance, and vendor services to address facility needs.
  • Manage office supplies and equipment to ensure operational continuity.
  • Implement and uphold health and safety standards within the workplace.
  • Conduct Fire Warden responsibilities, including fire and earthquake drills.
  • Responsible for conducting office walkthroughs to ensure office areas are tidy, organized and stocked.
  • Maintain a detailed inventory of office supplies, tracking trends and waste.
  • Responsible for ensuring kitchen facilities are clean, organized and fully stocked throughout the day.
  • Manage relationships with vendors for the office supplies, equipment, maintenance , and other services.
  • IT Infrastructure Management
  • Manage the onboarding process for IT devices, including laptops, cell phones, and other hardware.
  • Ensure connectivity across the organization, including internet, phone systems, employee cell phones, and VPN access.
  • Oversee IT security measures, including data backups and cybersecurity protocols.
  • Maintain an up-to-date inventory of IT assets, warranties, and service agreements.
  • Act as the primary liaison for IT troubleshooting (along with our MSP) and coordinate with external providers when necessary.
  • Please note, our IT provider will be fully managed, and available for heavy support in this area.
