Job Description Position Overview We are seeking a detail-oriented and experienced Project Assistant & Document Controller with 8–10 years of professional experience in the aviation sector. The ideal candidate will have a strong background in project documentation, coordination, and compliance, ensuring seamless management of project deliverables and workflows. This role requires excellent organizational, communication, and multitasking skills to support project managers and multidisciplinary teams in delivering high-quality outputs while adhering to airport authority requirements and internal standards. Roles & Responsibilities Manage project documentation, including reports, drawings, correspondence, contracts, and submissions, using established document control systems and versioning protocols. Maintain organized filing structures and ensure timely distribution of documents to project teams. Track approval workflows, comments, and revisions to maintain accurate records of document status. Support project managers with scheduling, meeting coordination, preparation of Minutes of Meetings (MoMs), progress reports, presentations, and project trackers. Assist in maintaining project timelines and ensuring deliverables are completed on schedule. Ensure compliance with airport authority requirements, QA/QC procedures, and internal document management standards across all disciplines. Monitor adherence to regulatory and procedural guidelines for documentation and submissions. Coordinate with multidisciplinary teams, including airside, landside, MEPF (Mechanical, Electrical, Plumbing, and Fire), planning, and commercial teams. Collect inputs, consolidate deliverables, and manage submission deadlines effectively. Assist with procurement documentation, Request for Information (RFI) logs, change logs, dashboards, and other project-related records. Support project audits and ensure proper documentation for project close-out processes. Qualifications Diploma, Graduate, or Postgraduate degree in a relevant field. 8–10 years of professional experience, with a mandatory focus on aviation sector projects.
