Job Summary
The primary focus of this position is to provide comprehensive day-to-day administrative support for the Head of Data Sciences and Analytics (DSA) in the Chief Medical Office (CMO). Your strong communication and collaboration skills will help our global team run operations efficiently. You will be the key point of contact for administrative activities and execution.
The ideal candidate is a proactive, independent, and self-motivated administrative professional that contributes high-quality results coupled with wider business process thinking, planning and input, based on advanced knowledge of the business. The candidate must be able to prioritize and work independently while utilizing an extended network to answer questions outside of areas of expertise. The ability to identify problems and relevant issues in ambiguous situations and to handle multiple demands and priorities simultaneously are key competencies. The candidate should feel empowered to contribute new ideas, and foster enthusiasm and culture within the department. Excellent networking, interpersonal, and communication skills with an attention to detail are a must.
Job Responsibilities

Calendar Management & Coordination

• Proactively maintain calendar for Head of Data Sciences and Analytics
• Schedule and coordinate meetings and required logistics (e.g. Teams, conference rooms, catering, hotel accommodations), including face-to-face meetings on and/or offsite.
• Handle highly confidential materials on a regular basis

Travel & Expenses

• Proactively coordinate arrangements for complex, global business travel
• Coordinate with local, global administrative partners to assist when leader is traveling to other Pfizer offices including securing office space, inclusive of all onsite support as needed
• Prepare expense reports for approval, ensuring expenses are filed correctly and in a timely manner, complying with Pfizer Travel & Expense policies. Reconcile statements against actual travel expenses.

Daily Operations

• Manage purchase orders from Ariba system and invoice tracking
• Maintain and distribute up-to-date organizational contacts, professional records, training reports, and distribution lists, etc.
• Support DSA leadership team meeting planning (hybrid and face-to-face) – including management of logistics for offsite leadership team meetings, global town halls or as requested, including reserving conference rooms, ensuring proper set-up and catering, coordinating with administrative support colleagues across the organization, and identifying cost-effective vendors.
• Suggest and implement process improvements for administrative tasks carried out across the team and DSA organization
• Assist with on-boarding of new hires, either colleague or contractor staff
• Organize and maintain an online repository of documents to support daily business needs
• Works in conjunction with network of CMO and DSA administrative support partners to ensure integrated and collaborative approach to support across the organization, align on best practices and business support deliverables.
• Support DSA Operations team on projects as needed

Basic Qualifications

• High School Diploma or equivalent (GED) or higher
• A minimum of 8 years of experience in an administrative support role required
• Prior administrative experience supporting senior leaders and experience supporting a large team managing multiple projects
• Proven track record of executing administrative duties as outlined above
• Expert knowledge and proficiency with general office procedures and programs within Microsoft Office (Outlook, Word, Excel, PowerPoint, Forms, Visio and SharePoint and SharePoint Design), PT&E, Ariba, Teams. Experience with graphic or video editing software (i.e. Canva), CoPilot, Power Automate and other AI tools is a plus.
• Proven ability to balance tasks, activities and priorities for self and others
• Ability to conduct all activities and make decisions that are in accordance with Company policies & SOPs, Pfizer Values & global regulatory and environmental guidelines

Organizational Relationships

• Reports to Head of Data Sciences and Analytics
• Works closely with DSA LT members, DSA Operations team, and other DSA, CMO, and cross-functional administrative partners

Other Requirements

• Flexible work hours required: may require flexible work hours (early mornings, evenings and/or weekends, overtime) as needed. 10-15% travel as needed.

• Overtime required- based on business need(s). Travel to offsite location(s) and other PFE site(s) as needed.

This is a hybrid role requiring you to live within commuting distance and work on-site an average of 2.5 days per week.

The salary for this position ranges from $32.47 to $54.11 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
