Ensure office operations conform to principles of good clinical care and customer service. Prioritize patient access to providers and ancillary services. Review patient satisfaction surveys and implement action plans to maintain and improve service. Interview, hire, orient, schedule, assign, and supervise all practice staff. Provide ongoing coaching, performance feedback, annual evaluations, and corrective actions as needed. Address and resolve conflicts among staff, escalating issues when appropriate. Develop and adjust staff and provider schedules in collaboration with leadership; review and verify timecards. Oversee daily administrative and clinical workflows, ensuring adherence to standardized processes. Monitor incoming calls and messaging systems to ensure efficient, patient-friendly handling. Oversee medical records management, ensuring compliance with policies, procedures, and regulatory requirements (HIPAA, DPH, Joint Commission, etc.). Conduct or coordinate compliance audits and site reviews. Manage office facilities, equipment, supply purchasing, and maintenance needs. Collaborate with billing and coding teams to ensure accurate claim entry, reimbursement, and revenue capture. Coordinate and participate in coding education sessions as needed. Ensure timely and complete collection of patient-responsible charges. Prepare budgets, management reports, and financial performance reviews. Monitor monthly dashboard reports and key performance indicators; implement action plans to achieve and exceed targets. Strategize with leadership to improve profitability and overall P&L performance, identifying opportunities for growth and cost efficiency. Ensure compliance with all regulatory, legal, and organizational policies. Lead and support process improvement - efforts to improve practice quality, efficiency, and patient outcomes. Maintain knowledge of compliance, HIPAA, and industry standards; oversee adherence across practice operations. Manage correspondence, reports, and communication within and outside the practice. Oversee mail and other administrative functions. All other duties, as assigned. Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers. Challenges current working practices, identifies process improvement opportunities and presents recommendations and solutions to management. Engages and commits to the organization’s culture of continuous improvement by actively participating, supporting, and promoting CCHC Pillars of Excellence. Bachelor’s degree in healthcare administration, business, or related field preferred; or equivalent combination of education and a minimum of 3–4 years of progressively responsible supervisory experience in a medical facility.
