Medical Office Assistant

Background

Pacific Orthopaedics & Sports Medicine (POSM) is a private medical office located near Lions Gate Hospital in North Vancouver. Our team-based approach provides comprehensive, multidisciplinary and integrated musculoskeletal care to the Coastal Health Region.

The medical team includes orthopaedic surgeons and sports medicine specialists supported by an experienced administrative team. POSM is a paperless office (EMR) with a common patient database.

The Position

The Medical Office Assistant (MOA) will work as part of the administrative and clinical support team for the Regional Orthopaedic Consultation Clinic (ROCC), which operates within the POSM office.

ROCC provides assessments for patients with non-surgical musculoskeletal conditions, including sports and athletic injuries, degenerative conditions and arthritis. The clinic also provides treatments and services including joint injections and bracing.

The MOA plays an important role in both the administrative operations of the clinic and the delivery of an organized, efficient patient experience.

Scope of Work & Key Responsibilities

· Provide reception and front-line patient support.

· Communicate and coordinate with patients, physicians, referring offices, and other members of the team

· Manage incoming referrals and maintain patient waitlists

· Coordinate and schedule patient appointments

· Coordinate patient care and tests/investigation

· Support the flow of patients through the clinic, including exam room preparation

· Assist physicians with tray preparation and minor procedures such as injections

· Help to address patient concerns

· Invoicing, billing and payment for certain services and medical products

· Monitor inventory and order medical supplies

· Maintain accurate and organized patient records within the EMR, including filing of documents and correspondence.

· Perform other administrative, clinical support, and operational duties as assigned to support the needs of the clinic and organization.

Skills & Competencies

· Previous Medical Office Assistant experience is an asset but not required.

· Strong interpersonal and patient-service skills.

· Effective written and verbal communication skills in English.

· Strong organizational and time-management skills.

· Ability to prioritize and manage multiple responsibilities in a clinical environment.

· Comfortable working both independently and collaboratively as part of a healthcare team.

· Experience with electronic medical record systems is an asset.

· Strong computer skills and ability to learn new systems.

· Understanding of patient privacy, confidentiality and appropriate handling of sensitive medical information.

· Professional and calm approach when managing challenging or sensitive patient interactions.

Pay: $25.00-$27.00 per hour
