Job duties:
The Learning Health System (LHS) program is part of the UW Institute for Clinical and Translational Research (ICTR) within the School of Medicine and Public Health. LHS is a collaborative initiative between ICTR, UW Health, and the Marshfield Clinic that integrates research grade analytics and evaluation of large-scale projects for healthcare operations and practice. The goal is to “learn from what we do and do what we learn” using best practices in data science, implementation science, and health informatics. The Research Program Coordinator is responsible for performing professional level work across a variety of administrative service areas, including operations, compliance, regulatory, outreach and resource management. This includes ensuring adherence to project grant and reporting requirements, data and documentation management across a variety of platforms (e.g. Box, ARROW, OnCore, GitLab) and liaising with other units across ICTR in support of LHS program goals.
The Learning Health System seeks a Research Program Coordinator with experience in health informatics to join the team. The successful candidate will be responsible for day-to-day operations and data management of the LHS program’s research activities, and for coordinating the program’s collaborations with the many teams working on its health system’s clinician championed and executive enterprise-level LHS projects. The Research Program Coordinator works with LHS leadership to plan and coordinate research program activities and timelines to meet unit goals and optimize unit workflow. The ideal candidate will be self-motivated, highly organized, demonstrate excellent communication skills, comfortable with informatics tools like Git, have ample project and data management experience, demonstrate a facility with technology, and exhibit a growth mindset.

Key activities include:

  • Lead and coordinate the data collection, data dictionary build, and data management process using the variety of platforms used to support LHS program activities (e.g. Git Repository, IRB Clinical Trials platform, and Clinical Research Data Services).
  • Coordinate the development of LHS research protocols, including clinical trials, and manage their submission to the Institutional Review Board and SMPH’s University Research Oversight Committee.
  • Manage the process of collecting outcome data from demonstration projects, consultations, and collaborative activities for reporting purposes.
  • Create requisite reports and provide quality assurance on LHS data tracking activities to ensure data integrity for ICTR and funder purposes.
  • Coordinate communication and activities around LHS demonstration project awards, including project management of the annual application cycle and working with ICTR to document each project’s progress to ensure milestones documented and reported
  • Coordinate and schedule collaborative LHS activities required for Legal, Dissemination and Implementation, Protocol Development, Biostatistics, Epidemiology and Research Design (BERD), Team Science and other component consultations with researchers and trainings
  • Manage day-to-day communications between LHS and internal/external stakeholders such as PIs/clinical partners/health system operational stakeholders/scientists/and other staff members of demonstration projects.
  • Coordinate and document LHS meeting agendas and minutes, including follow-up activities.

Compensation:
The expected salary range for this position is $80,000 up to $108,000 for highly experienced candidates. Actual pay within this range will depend on experience and qualifications.

Required Qualifications:

  • Minimum of 2 years of professional project management experience managing an informatics or IT project (playing a lead role in coordinating, facilitating, tracking, and communicating project activities).
  • Experience using cloud-based collaboration and project management tools, such as Gitlab, Smartsheet, Teams, Asana, Box, and Google Drive.

Preferred Qualifications:

  • Experience managing research protocols and using UW-Madison/SMPH Clinical Trials Institute (CTI) and/or Research and Sponsored Program (RSP) tools, including ARROW and OnCore.
  • Experience managing data collection across a variety of systems, including in platforms such as GitLab and REDCap, and engaging in quality assurance to ensure data integrity for reporting purposes.
  • Experience working with multifunctional teams.
  • Experience working in an academic research environment and familiarity with electronic health records data.

Education:
Bachelor’s degree required.
Masters degree in Health Informatics, Data Science, Public Health or related field preferred.
