Reporting to the Head of Cash & Securities Services Embedded Control.
The Cash & Securities Services Embedded Control team acts as an umbrella of control over multiple business practices.
Applying consistency by taking the lead in challenging business units in regards to their risk and control responsibilities.
You will be part of a team offering support and direction with remediation, in line with NT’s core principles.
This is an individual contributor role, responsible for control and governance functionality across multiple Securities Operations business units.
The role offers the opportunity to analyse, initiate, support and challenge processes and key risks across the applicable work streams.
Candidates may be expected to make periodic ‘diligence’ visits to offshore locations to review process controls and operational performance.
Key Responsibilities Include:
Risk Management and Regulations:
- EUC - Tracking all practice area End User Computing (EUC) verifications and SharePoint data. Challenge the validity of each EUC and assess whether this aligns with BAU processes as per procedures.
- RCSA - Co-ordinate efforts to streamline the end to end RCSA (Risk & Compliance Self-Assessment) process for the Securities Operations functions. Track program updates, status and completion deadlines.
- Audit - Review all upcoming internal/external audits, ensuring business leaders provide samples and documentation within deadline. Ensure practice leads act upon any actions and apply remediation.
- Exceptions - Ensure accountability for reconciliation breaks and known priority breaks. Maintain exposure through applied controls and reporting. Proactively monitor exception levels with close control around priority items e.g. Aged breaks, CASS risk.
- Regulatory reporting – Awareness of all applicable regulations and new change management practices. Advise and report on regulatory breaches impacting Securities Operations and provide support as applicable, follow up with practice leads for remediation.
Client Experience:
- Clients - Monitor all relevant scorecards across Outsourcing & Custody clients. Flag ‘At risk’ and ‘watch’ clients, challenge practice leads on remediation.
- Client Service Excellence - Support practice leads in maintaining operational excellence in all areas of Securities Operations.
- Client Complaints/Risk Issues - Maintain a tracking matrix for any client complaints with an action plan to remediate each issue.
- New Business - Awareness of new business/transition pipeline with planning to mitigate risks.
Governance:
- Act as a lead contact point for the team.
- Errors & Incident Management - Maintain an incident report library. Lead root cause analysis of work streams for errors, identifying service and process improvements where applicable. Challenge practice leads on remediation and actions.
- ASL & Near Misses - Pro-actively support practice leads in mitigating future exposure.
- Partner/Team KRI (Key Risk Indicators) - Implementation of metrics to identify skills gaps, training, attrition, remediation. Recognise attrition by location and team, monitor if this correlates to error rates, Lead efforts to identify training & skills gaps for the Securities Operations teams.
- Hybrid Model/Future of work - Collate metrics from business units to track hybrid model performance. Identify improvement areas.
- Data Privacy - Track incidents and challenge for remediations
Functional Performance & Reporting:
- SLA’s - Monitoring Securities Operations SLA’s (Service Level Agreements) with timelines of updates and pending sign off’s to be met.
- OKR (Objectives, Key Results) – Log status updates from all practices with time frame planning of completion.
- BCP – Maintain a matrix of all practice plans, completion and progress status.
- Monthly Risk metrics pack – Collate all documented metrics and business updates in a comprehensive pack. An abridged version is to be utilised within a monthly forum with the business leads for progress updates.
- Queries - Responding to all queries and requests in a timely and effective manner.
- Performance - Collaborate with multiple business units such as Client Services, Network, Product, reviewing service needs and monitoring Securities Operations’ performance.
Projects & Ad-Hoc:
- Projects - Coordinate and manage any applicable project related work.
- Volatility Reporting - Monitor and dissect dashboard data, working with business units to get progress updates of priority risks. Support and challenge actions with updates to be provided by deadlines.
- Technology - Keep abreast of all IT updates and changes. Ensure these are applied holistically across Securities Operations. Identify any concerns or risk areas and work with applicable teams to address.
- Enhancements – Track a log of all in-flight enhancements with deadlines and progress to be documented.
Skills/Experience/Competencies
- Strong verbal and written communication skills with the confidence to communicate at all levels.
- Ability to work under pressure and multi-task to meet deadlines.
- Flexible, with the ability to multitask.
- Robust risk and control awareness skills. The ability to proactively address issues and escalate as appropriate.
- Proven record in identifying process inefficiencies and recommending appropriate solutions.
- Have the ability to operate in a dynamic environment of growth and change.
- Experience in executing investigations and supporting functions in control and regulatory initiatives.
- Keen focus on client service and delivery, taking a proactive and innovative approach to both existing and new business.
