POSITION OVERVIEW

The Christmas Tree Council of Nova Scotia (CTCNS) is seeking a dynamic and self-motivated individual to serve as its part-time Executive Director. This year-round leadership role is responsible for the administration, coordination, and advancement of Council activities, providing strategic and operational oversight across financial management, stakeholder engagement, regulatory affairs, and industry promotion.
Reporting to the Board of Directors through the President, the Executive Director works closely with Council members, government partners, and industry stakeholders to strengthen Nova Scotia’s vibrant and globally recognized Christmas tree and greenery sector.

Skills & Qualifications

• Exceptional interpersonal and communication skills—written, verbal, and presentation.
• Experience working with nonprofits, volunteer-based or member-driven organizations is an asset.
• Familiarity with government funding programs, legislative compliance, or regulatory processes is highly desirable.
• Proficient in Microsoft Office Suite, website content tools, and financial software (e.g., QuickBooks or equivalent).
• Ability to manage multiple priorities in a flexible and remote work environment

Leadership & Governance

• Oversee and coordinate the operations and day-to-day business of the Council.
• Support the Board of Directors and Executive Committee by facilitating meetings, preparing reports, and ensuring the accurate recording and distribution of minutes.
• Serve as a strategic partner to committees and working groups, supporting their mandates and deliverables.
• Lead and implement the Council’s strategic plan in coordination with the Board, ensuring alignment with emerging industry trends and challenges.

Financial Oversight

• Administer the Council’s financial affairs, including budgeting, reporting, and oversight of bookkeeping.

Manage the collection, compliance, and enforcement of the Christmas Tree Levy under applicable legislation.

• Prepare financial and performance summaries for reporting to the Board and funding agencies.

Stakeholder & Government Relations

• Serve as a primary liaison with member associations, government bodies, commodity groups, and community partners.
• Represent the Council in external forums, including industry events, community presentations, and media engagements.
• Foster collaborative relationships to advance the interests of the Council and its members.

Communications & Promotion

• Oversee and contribute to Council communications, including updates to the CTCNS website and publication of the Nova Scotia Christmas Tree Journal.
• Collaborate with Perennia Food & Agriculture/Provincial Christmas Tree Specialist to ensure alignment with Council goals and priorities.
• Support promotional campaigns and the development of marketing materials for domestic and international audiences.

Program Development & Advocacy

• Pursue funding opportunities for research, innovation, promotion, workforce development, sustainability, and inclusion.
• Advocate for practical and industry-appropriate regulations; work with government partners to communicate these regulations to members and support compliance.
• Monitor and evaluate the effectiveness and impact of Council initiatives; prepare performance and impact reports as needed.

Organizational Development & Membership Services

• Identify and propose solutions to enhance Council efficiency, communication, and service delivery.
• Maintain regular contact with regional associations and individual members, ensuring that Council activities align with member needs.
• Support membership development and engagement initiatives.

Human Resources & Contractor Oversight

Coordinate and supervise contractors, consultants, and other staff supporting CTCNS initiatives.

• Ensure clear deliverables, reporting expectations, and accountability for contract work.

Risk Management & Compliance

• Maintain awareness of legal, regulatory, and reputational risks to the organization; advise the Board on mitigation strategies.
• Ensure compliance with applicable provincial and federal legislation and Council policies.

Digital Tools & Data Management

• Maintain secure, organized digital files, records, and contact databases to ensure operational continuity.
• Oversee implementation or use of data and project management systems that support Council operations and member services.

Knowledge of the Christmas tree industry is an asset; facilitation and consensus-building skills are essential.
Must possess a valid driver’s license and be willing to travel throughout Nova Scotia.

Work Terms & Compensation

• Position Type: Part-time, approximately 40 hours per month (flexible schedule).
• Compensation: Based on experience. Approved expenses will be reimbursed.
• Location: Flexible Location. Travel to Council meetings and industry events is required. The Council office is currently located in Tatamagouche, NS.
• Probation Period: A six-month probationary period will apply. Upon successful review, a renewable two-year contract may be offered.
