Um unser Backoffice schlank und zuverlässig aufzustellen, suchen wir eine organisierte und selbstständige Person, die unsere administrativen und finanznahen Prozesse in der Schweiz und im Kosovo eigenverantwortlich betreut. Als Admin Coordinator sorgst du dafür, dass im Hintergrund alles läuft: von Zahlungsläufen über Rechnungen und Verträge bis zur Postverwaltung. Du arbeitest – falls gewünscht - grundsätzlich remote und teilst dir deine Arbeitszeit komplett selbstständig ein. Wichtig ist einzig, dass du an mehreren Tagen pro Woche kurz online bist, um zeitkritische Aufgaben (z. B. Zahlungsfreigaben, Rechnungsversand) zeitnah zu erledigen. Du berichtest an Manuel Inauen, Chief of Staff. Was dich erwartet Schweiz Einholen der Visa-Freigaben (Visum) für Eingangsrechnungen. Sammeln der Kreditkartenbelege und Erstellen einer Übersichtstabelle. Monatliches FTE-Reporting in Personio für das HR der enovetic group. Erstellung von Verträgen für Kundinnen und Kunden. Versand von Rechnungen und Mahnungen. Verwaltung der zentralen E-Mail-Adresse. Verwaltung des physischen Posteingangs (ePost). Kosovo Durchführung von zwei Zahlungsläufen pro Monat: Löhne, Steuern, Miete und Dienstleister. Abstimmung mit dem Treuhänder vor Ort (Kommunikation auf Englisch, schriftlicher Austausch in geringem Umfang). Generell Dokumentation von Prozessen in Confluence. Unterstützung bei On- und Offboarding von Mitarbeitenden. Verwaltung des kollabo Plugins in Claude (oder einem anderen KI-Tool) mit Unterstützung durch den Vorgesetzten. Verwaltung der Dateiablage (aktuell Google Drive). Was du mitbringst Abgeschlossene kaufmännische Grundausbildung (EFZ) oder gleichwertige Qualifikation. Berufserfahrung in einer kaufmännischen Funktion, idealerweise mit Berührungspunkten zu Buchhaltung, Debitoren/Kreditoren oder Zahlungsverkehr.
