Job Summary: As a Project Assistant, you’ll play a vital role in supporting our construction projects by keeping documents, schedules, and logistics running smoothly. You’ll work closely with Project Managers, Foremen, and subcontractors, ensuring that all critical processes stay on track. This role is ideal for someone highly organized, responsive, and enthusiastic about delivering excellent internal and external customer service. Essential Duties and Responsibilities: Project Planning & Execution Plan, schedule, and coordinate all phases of construction projects to meet deadlines and maximize productivity Manage project budgets, including labor, material, and equipment costs, from initiation through completion Prepare and maintain cost tracking reports, payment billings, schedules, and change orders Price, process, and track all project change orders; communicate adjustments to stakeholders Develop and implement quality control programs to ensure consistent standards across all projects Ensure compliance with building and safety codes, environmental regulations, and internal quality standards—promoting a safe, injury-free work environment throughout all phases of the project Investigate and resolve incidents or delays, ensuring adherence to proper construction procedures and timelines Oversee all BIM activities in partnership with the BIM Coordinator to ensure successful detailing and coordination Manage activities during the warranty period to ensure client satisfaction and resolution of any post-construction issues Subcontractor & Team Coordination Review job drawings and specifications to determine construction methods and scope Work collaboratively with Foremen, Submittal Coordinators, and Purchasing for timely procurement of materials and equipment Coordinate subcontractor documentation, work schedules, and materials Support vendor and subcontractor negotiations and help resolve worksite issues Engage regularly with field personnel and project stakeholders to resolve challenges and ensure alignment Client Communication & Reporting Serve as the primary point of contact for clients, architects, contractors, and consultants throughout the project Conduct regular site visits and facilitate updates on project progress, milestones, and key decisions Collaborate with supervisory staff, design professionals, and clients to resolve work procedures, complaints, or construction challenges Project Leadership & Execution: Lead project teams, manage scope, time and budget of projects, communicate effectively and mitigate risks to safely execute projects on time and within budget. Construction Knowledge & Field Coordination: Follow blueprints and specifications to ensure construction tasks are carried out to plan and coordinate with all necessary parties. Communicate instructions, updates, concerns, and issues to team members, supervisors, clients and vendors to keep the project working efficiently. Budgeting, Cost Control, & Change Management: Provide financial analysis, budgeting, cost estimation, forecasting, and variance analysis while creating and monitoring project budgets and analyzing cost reports and communicating with stakeholders. Quality & Safety Compliance: Enhance processes to achieve positive results and identify and mitigate hazards to maintain a safe work environment in compliance with all safety protocols. Communication & Team Collaboration: Effectively communicating with supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person. Strategic Problem Solving: Analyzing information and evaluating results to choose the best solution and solve problems Client Relationship Management: Understand client needs, provide effective communication, and ensure customer satisfaction to strengthen and maintain relationships with clients. Management of Personnel Resources: Motivating, developing, and directing people as they work to set performance standards and identify the best people for the job. Supervisory Responsibilities: May be required to mentor Project Engineers and supervise Project Assistants.
