As a Contract Trainer/Administrator, you are responsible for coordinating subcontracts for industrial projects. You will work closely with project teams, suppliers, and clients to ensure the formation of subcontracts and manage the tendering process to obtain bids. Technical and commercial specifications will be prepared in collaboration with the client, professional firms, and the Procurement Manager. You will ensure subcontract compliance and contribute to the successful delivery of projects.
What you will do :

Procurement Planning

• Prequalify suppliers who will be invited to bid.
• Define the breakdown of procurement packages for projects.
• Analyze project needs and technical specifications to identify required products,services, and contractual requirements.
• Organize and lead the pre-award meeting to coordinate stakeholders, gather necessary information, and contribute to strategic decisions.

Managing the Tendering Process

• Prepare tender documents.
• Compile a list of qualified bidders (typically a minimum of three).
• Conduct construction tenders, including organizing site visits.
• Manage construction tenders, including site visits.
• Coordinate pre-award meetings to clarify contractors’ understanding of their submitted bids.

Contract Analysis and Negotiation

• Perform commercial analysis of bids.
• Anticipate market trends and shifts in supplier negotiation power.
• Negotiate contracts with suppliers to optimize purchasing conditions.
• Mitigate claims and contractual disputes proactively.
• Review tenders to identify contractual risks.
• Document key communications with subcontractors (events, issues, agreements).

Contract Recommendation and Development

• Make a recommendation to be submitted to the Client’s management or
• Pomerleau’s authority (as applicable) for feedback and final approval.
• Coordinate the preparation of all required contractual documents to initiate work and obtain necessary approvals. These may include: letters of intent, LNTP (Limited Notice to Proceed), purchase orders, contracts, etc.
• Finalize the contract, including contractual and technical clarifications.
• Ensure proper handover and follow-up with Contract Administrators or Expeditors.

Corporate Development

The Contract Trainer/Administrator must support the Procurement Team Lead in the following areas:

• Design, develop, and implement effective and sustainable procurement methods and strategies.
• Develop negotiation strategies to secure the best terms (price, timelines, quality).
• Participate in the development and implementation of new processes and tools related to the function.
• Review, test, and update existing contracts.
• Acquire in-depth knowledge of subcontracting contracts: scope, terms, applicable standards, and codes.
• Collaborate with project teams and suppliers to gather accurate information.
• Ensure compliance with industry standards and regulations.

This role could be for you if you have :

• Degree in Supply Chain Management, Construction Management, or a related field.
• 5 to 10 years of experience in subcontract management within the construction, engineering, and/or industrial sectors.
• Strong command of the entire procurement process.
• Adapt to the varying workload associated with different project phases.
• Demonstrate strong ability to manage multiple files simultaneously.
• Strong skills with information systems, office software, and management systems.
• Knowledge of procurement management software and project management tools is an asset.
• Excellent communication and negotiation skills.
• Ability to work under pressure and meet deadlines.
