The Role: The successful Front Desk & Surgery Scheduler will contribute to the fulfillment of Panorama Eyecare’s mission statement by greeting, making appointments, and checking patients in and out for each doctor in a friendly, organized, and efficient manner. They are also responsible for facilitating smooth patient flow within the office by following established office guidelines and serving as a general information source for patients. Greets patients upon their arrival to the office. Verifies patient information and confirms insurance information and referral status/authorizations. Obtains and retains knowledge of insurance company participation and requirements. Registers patients correctly and completely in computer, providing consistency for patient listing and billing information. Answers general questions for patients following established guidelines. Prints route slip for appropriate resource to proper location. Schedules all in-office appointments per recalls on route slips. Maintains awareness of schedule and problem solves when needed. Collects payments from patients and correctly balances all collected monies against receipts. Answers questions regarding insurance billing and office financial policies. Generates and dispenses tokens for the Patient Portal for every patient. Enters recalls in computer for future appointments. Assists patients as needed with calling for transportation, writing checks, dialing phone numbers, etc. Directs patients to appropriate locations- main waiting room, optical, restrooms, ASC, etc. Maintains the goal of providing the highest level of customer service to patients. Assists in maintaining work area and reception area including making coffee, organizing magazines, picking up trash on floors… Basic understanding of phone etiquette, understanding how to differentiate inner-office or outer-office calls; able to transfer calls successfully to the correct department. Takes initiative when there is a task that needs to be completed. Does not remain idle when there is work to be done. Ensures confidentiality of medical records and patient information Pre-certifications for all in office surgeries, outpatient surgeries for 5 surgeons. Scheduling out going referrals. Scheduling diagnostic imaging for our providers. Distribute faxes for all of Boulder Eye Surgeons- creating tasks to review patient records. Medical records distribution to 3rd party providers (Insurance companies, CIOX). Assisting Surgical Counselors by calling patients, scheduling surgery at the ASC and in our system, email out paperwork, set up any follow up appointments with co-managing physicians. Collection of upgraded lenses prior to surgery Mail distribution Contacting insurance companies prior to in office procedures to find out what the patient ill ow for the procedure - and being able to get this information for the front desk to collect at the time of service. Travels between Arapahoe and Erie clinics as needed for coverage. Other duties as assigned. Requirements Who You Are High school diploma or GED. Previous experience in a medical office setting preferred. Word processing/computer scheduling experience. Knowledge of typical office work environment. Previous customer service experience preferred. Ability to travel between two locations when needed. Additional Job Details: Works at variably at our 2 clinic locations as needed, Boulder Eye Surgeons (4745 Arapahoe Ave, Suite 100, Boulder, CO and 101 Eric Pkwy, Suite 202, Erie, CO 80516) Scheduled hours will be within the hours of 7:30am and 5pm daily, subject to business needs. This is a Full-Time Position. Compensation for this role will be $20 - $22 an hour based on experience.
