OVERVIEW: The Parts Coordinator plays a vital role in the daily operations of the parts department by assisting customers, managing inventory, and maintaining strong communication with internal teams and manufacturers. Key Responsibilities: CUSTOMER SERVICE & SALES SUPPORT * Greet customers and answer incoming phone calls in a courteous and professional manner. * Assist retail and internal service customers in identifying and selecting appropriate parts. * Provide accurate price quotes and part details in person or over the phone. * Process transactions quickly and correctly using dealership systems. VENDOR & MANUFACTURER COORDINATION * Communicate effectively with corporate purchasing and service departments. * Collaborate with manufacturers and vendors to fulfill part orders and resolve discrepancies. * Notify technicians and customers when special ordered parts arrive. INVENTORY REPLENISHMENT & ACCURACY * Pull and fill orders from inventory stock. * Restock assigned parts bins daily and monitor back-ordered items. * Notify management of out-of-stock or low-supply items requiring immediate attention. DOCUMENTATION & PROCESS MANAGEMENT * Maintain accurate and organized records of all parts orders and customer interactions. * Ensure proper version control and tracking for frequently used parts and SKUs. * Follow dealership protocols for tagging, labeling, and shelving parts. TEAM COLLABORATION & DEPARTMENT SUPPORT * Support the parts and service team with internal communications and process improvements. * Assist with special projects, clean-up tasks, and seasonal inventory efforts. * Perform other duties as assigned to contribute to overall department success. REQUIRED SKILLS AND QUALIFICATIONS * Strong computer skills. * Some cash handling experience is preferred. * Availability to work weekends as needed. * Excellent organizational and sequencing skills. * Strong communication and listening skills for effective issue resolution in person or by phone.
