Der Elevate Program Team Assistant (m/w/d) unterstützt das Programmteam, das in verschiedenen Ländern auf der ganzen Welt tätig ist. Diese Rolle ist entscheidend für einen reibungslosen Projektablauf in einer schnelllebigen, internationalen Programmumgebung. Sie arbeiten mit Stakeholdern aus verschiedenen Regionen und Zeitzonen zusammen und unterstützen bei der täglichen Koordination, Kommunikation und administrativen Aufgaben für eine groß angelegte ERP-Initiative zur Unternehmenstransformation.

Ihre Aufgabe

  • Verwaltung und Planung von Teambesprechungen, Workshops und Veranstaltungen, Planung von regionenübergreifenden Besprechungen und Koordinierung von Programmveranstaltungen, Workshops und wichtigen Programmtreffen.
  • Sie koordinieren Reisen, Logistik und Visa-Arrangements für Teammitglieder, die an globalen Workshops, Meetings oder Standortbesuchen teilnehmen.
  • Unterstützung bei der Projektdokumentation, der Konsolidierung von Statusberichten und der Formatierung von Präsentationen (z. B. PowerPoint-Decks für Aktualisierungen der Führungskräfte).
  • Unterstützung bei der Nachverfolgung von Maßnahmen, Follow-up mit Interessenvertretern und Unterstützung von Routinen zur Programmsteuerung (z. B. RAID-Protokolle, Entscheidungsprotokolle, Abhängigkeiten).
  • Unterstützung beim Onboarding neuer Projektressourcen, einschließlich interner Teammitglieder, externer Berater und Auftragnehmer.
  • Verwaltung des Büromaterials für das Team sowie die Ausstellung von Bestellungen und die Bezahlung von Rechnungen.
  • Mithilfe bei der Verwaltung von SharePoint-Websites, Teams-Kanälen und Dokumentenspeichern, um eine ordnungsgemäße Versionskontrolle und den Zugang zu gewährleisten.
  • Sie fungieren als Bindeglied zwischen der Programmleitung, dem Büro und den globalen Geschäfts- und IT-Funktionen für betriebliche Anforderungen.
  • Recherchieren, kaufen und koordinieren Sie die Produktion von Marketing- und Werbematerialien, einschließlich, aber nicht beschränkt auf Drucksachen, elektronische Medien, Werbegeschenke für Messen usw. im Rahmen des vorgesehenen Budgets und in Zusammenarbeit mit dem Change Management Team.
  • Mitwirkung an der internen Kommunikation (z. B. Newsletter, Programmaktualisierungen) und Unterstützung von Initiativen zur Förderung der Teamkultur in Abstimmung mit dem Change Management Team.

Ihr Profil

  • Nachgewiesene Erfahrung als Verwaltungsassistent oder in der Koordination eines großen Programms/einer großen Organisation, idealerweise in den Bereichen Business Transformation, ERP oder IT
  • Erfahrung mit der Arbeit in internationalen Umgebungen und der Koordinierung über mehrere Zeitzonen hinweg
  • Umfassende Kenntnisse von Büroverwaltungssystemen und -verfahren, einschließlich SAP
  • Ausgezeichnete Kenntnisse in Microsoft Office
  • Ausgeprägte mündliche und schriftliche Kommunikationsfähigkeiten in verhandlungssicherem Englisch und Deutsch in einem internationalen Kontext (andere Sprachen sind von Vorteil)
  • Hervorragende organisatorische und kommunikative Fähigkeiten - mündlich und schriftlich
  • Hervorragende Planungs- und Zeitmanagementfähigkeiten
  • Fähigkeit, unabhängig und proaktiv zu arbeiten, mit vertraulichen Informationen umzugehen und in einem Umfeld mit hohem Druck mit mehreren Prioritäten zu jonglieren
