Job Description The Receptionist / Administrative Assistant serves as the first point of contact for visitors, employees, and external business partners. Manage front desk operations and maintain a positive first impression of the organization. Answer, screen, and direct incoming telephone calls promptly and professionally. Monitor and manage multiple departmental email inboxes, ensuring timely responses and follow-up. Collect, sort, distribute, and prepare incoming and outgoing mail, packages, and correspondence. Receive, route, and distribute fax and electronic communications. Assist with invoice processing, tracking, and administrative documentation. Perform accurate data entry and maintain records, files, and databases. Coordinate visitor access and ensure compliance with facility security and safety procedures. Maintain the cleanliness and professional appearance of the reception area, lobby, and common spaces. Schedule meetings, conference rooms, and appointments as needed. Support onboarding activities, employee communications, and other Human Resources administrative functions. Prepare reports, presentations, spreadsheets, and correspondence using Microsoft Office applications. Maintain complete confidentiality and discretion regarding sensitive employee, business, and company information. Provide administrative and clerical support to various departments as assigned.
