The Manager, Administrative Services plays a pivotal role in ensuring the seamless operation of administrative functions across the business unit. Reporting to the Regional Manager, Administrative Services, this role provides strategic leadership to the administrative team, fostering a culture of excellence, collaboration, and continuous improvement. The successful candidate will be a proactive leader with a strong operational mindset, capable of driving efficiency and delivering exceptional internal client service. Occasional travel is required. As a Manager, Administrative Services your responsibilities will include: · Champion the delivery of high-quality, consistent, and efficient administrative support services to practitioners, ensuring alignment with client service standards. · Lead, mentor, and develop a high-performing administrative team, maintaining a deep understanding of operational needs and priorities. · Work closely with senior colleagues, including the additional Manager, Administrative Services, to ensure alignment between offices and teams. · Collaborate with the Administrative Services Senior Leadership Team to shape and implement a forward-looking vision for service delivery and team growth. · Oversee the design, delivery, and effectiveness of training programs for administrative staff. · Manage team scheduling, vacation planning, and workload distribution to optimize productivity and service coverage. · Facilitate leadership development and feedback processes for Senior Administrative Assistants. · Partner with the Office Operations Team to streamline office procedures and recommend strategic process improvements. · Oversee facilities management, including building operations, renovations, security, and parking logistics. · Ensure compliance with document retention and destruction policies in accordance with firm standards. · Maintain a well-equipped, organized, and aesthetically professional office environment. · Collaborate with team leads for onboarding and training for new administrative hires, ensuring alignment with current office procedures. · Plan and execute special events and office-wide meetings as needed. · Support workspace design and office renovation initiatives. · Oversee the Health & Safety Committee and Fire Preparedness initiatives, ensuring effective committees are established at all office locations, and maintain clear communication with internal teams by providing updates on facility changes, routine maintenance schedules, fire drills, and other related activities. · Oversee recruitment, onboarding, and offboarding of administrative team members.
