Description The Director of Adult Day Services is responsible for ensuring appropriate services to the individuals of the program in accordance to the Department of Human Services licensure standards. This includes, but is not limited to, BALC and BQM. Responsibilities: 1. Hires, trains, and directly supervises and appraises the performance of the Community Day Services Program Coordinators, Work Services Manager, InKlude Program Manager, Instruction and Supports Manager-QIDP, and Secretary/Receptionists for the programs. In this capacity, duties include but are not limited to: a. Working with Human Resources department to recruit and select qualified staff, following all established agency policies and procedures; b. Providing appropriate on-the-job training, other training as needed, completion of annual performance appraisals, and ongoing feedback and support; c. Ensuring that staff supervised understand and follow agency and Spectrum policies and procedures, and acting to rectify situations where this is not the case. This includes giving staff ongoing feedback on performance and instituting disciplinary measures up to and including termination where necessary. d. Ensuring that Program Coordinators and QIDPs maintain adequate levels of staff support for those individual s on their caseloads; e. Ensuring that Program Coordinators and QIDPs attend any scheduled meetings for all individuals on their caseloads in a timely manner, following established procedures, and complete documentation thoroughly, accurately and without delay; f. Ensuring that Program Coordinators and QIPDs provide appropriate supervision to staff reporting to them, including provision of appropriate On-the-Job Training, other training as needed, annual Performance Appraisals, and ongoing feedback and support; g. Ensuring that Program Coordinators and QIDPs work cooperatively with each other and other Spectrum staff and the Case Managers and other staff of the residential program of Little Friends. h. Ensuring that Program Coordinators make appropriate referrals to clinical staff and to consultants to ensure the best possible service provision for their assigned individuals. i. Ensuring that Program Coordinators achieve timely, accurate and thorough completion of all paperwork needed for funding sources, including, but not limited to: 1) DRS opening and closing letters 2) DHS individual opening/closing/change forms 3) Medicaid Waiver paperwork 4) CDS annual licensure application 5) Annual DRS contracts 6) DOL sub-minimum wage certificate paperwork, where needed 7) Any other paperwork required by funding sources which is the primary responsibility of Program Coordinators. 2. Oversees the Intake Process to include but not limited to: a. Responding to and tracking contacts with prospective applicants and their referral source. b. Arranging and conducting tours for prospective applicants and their referral source. c. Maintaining and processing initial application packets. d. Obtaining needed background information to assist in determining applicant’s physical, psychological, social, vocational and educational status. e. For all persons completing applications, presenting pertinent information to program managers at monthly meetings and act as an information resource in process of determining adequacy of program’s services for applicant. f. For all persons designated for entrance into ADS programs, tracking progress on waiting list for indicated program. g. Informing prospective applicants who are ineligible for services of the reasons for ineligibility. If possible, referring applicant to another resource. h. Arranging and/or conducting a personal interview with each applicant and responsible family member(s) or referral sources(s), to gather current social, educational, medical, psychological and vocational information and to complete necessary forms prior to intake. i. Arranging Community Day Services assessments as needed. This includes but is not limited to: i. Coordinating transportation, dates/times, and facilitating the intake for each applicant. ii. Coordinating all necessary preparations for entry into program(s) with individual s and their families, the Department of Human Services (DHS), Department of Rehabilitation Services (DRS) and school districts as appropriate. iii. Ensuring necessary paperwork is available and sets up the individual file for each person entering a program. iv. Ensuring each new individual and guardian receive a copy of the appropriate Individual Handbook, and answering any questions including but not limited to: rights and grievance procedures, rules and regulations of the workshop, and any financial obligations they may have with regard to program and/or vanpool fees. 3. Holding and documenting regular intake meetings with Spectrum Program Coordinators, QIDPs and other managers. At these meetings, reviews each referral and the status of applicants scheduled to start in program(s). 4. Determining availability of transportation for new individual /residents requiring transportation services. 5. Coordinating arrangements with Transportation Coordinator and provide the necessary personal and emergency information. 6. Working with Residential staff to coordinate dual residential/vocational admissions. Submitting intake statistics to Division Vice President for inclusion in Program Evaluation report. 7. Participate in Little Friends Behavior Supports Committee. 8. Participates in regularly scheduled meetings, including: a. Senior Leadership meetings b. Administrative team meetings; c. Monthly staff meetings; d. Other meetings as needed or as assigned by the COO 9. Participate in strategic planning sessions for division. 10. Manages those aspects of annual budget responsible programs directly relevant to individual support services, including: a. Making annual budget recommendations to the COO, including capital expenditure requests and staffing requests; i. Tracking expenditures in relevant line items for these programs; ii. Approving purchase requisitions for expenditures from relevant line items in these program budgets under $500. iii. Referring purchase needs above $500 to the President/CEO of LFI. 11. Ensures the timely, accurate completion of all necessary program reports. 12. Communicates ADS and agency policies and procedures effectively to upper management and acts to rectify any failures to follow policies and procedures among Program services staff (Program Coordinators, Managers, QIDPs Instructors, DSPs, etc.) 13. Serves as liaison with DHS Office of the Inspector General coordinating requests for documentation, scheduling investigation meetings and following up on any recommendations. 14. Oversees the Quality Assurances Committee of ADS. 15. Participate in and leads CQL committees and initiatives. 16. Serves on other teams and standing committees of ADS and Little Friends as assigned. 17. Other duties as assigned by the COO.
