Role Purpose
Provide a wide range of support services to the Director General’s Office and undertake administrative functions to ensure the implementation of processes and procedures in a timely and professional manner.
Key Responsibilities
1. Proficient Support: Providing critical support services to the Director General’s Office, such as by preparing correspondences, setting up meetings arrangements and handling documentation, among other duties, with exemplary planning and time management skills, to ensure effective and efficient office management.
2. Controlled Office Practices: Ensuring implementation of processes and procedures and identifying opportunities for improvements and making recommendations accordingly.
3. Effective Communication: Maintaining discernibility and active communication within the organization by keeping all Management/employees informed of any memos/notices/directives that need to be circulated for their information and/or action.
4. Documents Management: Preserving up-to-date administrative files, including contact database, reports, minutes of meetings, memos, and business correspondences, etc.
5. Documents Confidentiality: Managing complex and highly confidential information. Examining requests to access documentation and making recommendations related access privileges.
6. Deadline Management: Ensuring deadlines are met with regard to tasks/actions, internally and with the Government Authorities/external entities.
7. Overlooking Front Desk Duties: Managing clients and visitors of the Director General’s Office and assisting them with the required information and services.
8. Other Duties: Performing other related duties, as may be assigned from time to time.
QUALIFICATIONS
Academic Qualifications:
Bachelor’s degree in business management or any equivalent degree.
Certifications:
Interpersonal Communication Skills.
Professional Experience:
At least five years working experience in executive administration.
