JOB PURPOSE The 211 Careers program provides job training and placement to expand access to in-demand careers and strengthen the Inland SoCal Region’s economy. Since 2018, we have helped over 1,200 job seekers prepare for employment and directly placed over 600 into quality jobs. The Employment Clerk plays a vital role in supporting workforce development efforts that directly benefit individuals facing barriers to employment. By providing essential administrative and operational support, this position helps ensure that job seekers receive the tools and resources they need to prepare for and successfully reenter the workforce. The Employment Clerk maintains accurate documentation, prepares participant files for audit readiness, and supports data entry and reporting processes that contribute to program accountability and continuous improvement. This position helps create a welcoming and organized environment that fosters personal growth and economic opportunity. A successful candidate will have a passion to assist all people to thrive financially, and the experience and skills to work with job seekers from many backgrounds, especially reentry. ESSENTIAL DUTIES Outreach and Participant Engagement • Conduct follow-up with program participants to support employment retention and gather updates on job status and progress. • Make outbound calls to engage participants, confirm appointments, and maintain consistent communication throughout the program. • Coordinate and schedule participant workshops, mock interviews, and other readiness activities in collaboration with community partners. • Follow up with clients and community partners to collect feedback and verify that services were received to support program tracking. • Assist in planning and organizing outreach events that promote program visibility and connect job seekers to available resources. Reporting and Documentation • Update tracking sheets and maintain a detailed calendar of events to support program organization and timely service delivery. • Document participant progress, service outcomes, and internal processes to ensure accurate records and program funding compliance. • Communicate regularly with Program Manager and Quality Assurance staff to provide updates on enrollment status and activity. • Assist in compiling and organizing data for monthly and quarterly reports to meet internal and external reporting requirements. Team and Administrative Support • Provide front office support by greeting guests, directing visitors, and maintaining a professional and welcoming environment. • Perform receptionist duties including answering, transferring, and making outbound phone calls to support program operations. • Offer clerical support to the workforce development team and other departments to ensure smooth day-to-day functionality. • Support Employment Coordinators and Quality Assurance staff with accurate data entry in the case management system. • Represent the organization at public and private events, especially those focused on reentry and workforce development. • Identify new community organizations to expand the 211-resource database and assist with onboarding them into the system. Requirements QUALIFICATIONS • Applicants should have the education, experience, and/or training necessary to fulfill the job duties and responsibilities. Examples of how this requirement may be met include: o Associate’s or Bachelor's degree in health or human services such as social work, human services, sociology, psychology, public health, or a related field with 1-2 years of relevant experience; OR o High School Diploma, GED, or High School Equivalency with 2-3 years of experience in a relevant field with demonstrated leadership and progressive responsibility. • Experience with social services and local resources. • Demonstrated knowledge of court/probation/parole and basic criminal justice experiences to understand the culture and barriers to reentry. • Ability to effectively communicate verbally and in writing in a business professional manner, including strong public speaking skills. • Ability to convey and deliver the utmost customer service when communicating with staff, employers, other partners, and participants. • Strong writing skills, including grammar and ability to summarize, and proficient computer skills, including competency with Microsoft Office and a variety of software. • Preferred: o Bilingual in English/Spanish o Previous experience with workforce development programs o Previous experience with case management systems or databases • Ability and commitment to using a trauma-informed and equity lens and empathetically respond to the interconnectedness of barriers experienced by participants. • Physical Requirements: Work is performed in an office using standard office equipment such as the telephone, computer, fax machine, and copier.
