At CARSTAR Lindsay Mt. Hope, we’re looking for a reliable, upbeat, and detail-oriented Front Administrator/Customer Service Representative (CSR) who can be the welcoming face and voice of our shop. You’ll play a vital role in ensuring our customers feel confident and supported throughout the repair process—whether they walk through our doors or call us on the phone.
As the first point of contact, your professionalism, organization, and positive attitude will help us deliver an exceptional experience every step of the way.
What You’ll Do: Customer Experience & Front Desk Operations
· Greet walk-in customers and answer phone calls with professionalism and warmth.
· Pre-qualify customer needs and guide them through the repair or appraisal process.
· Gather and input key customer information into our systems accurately and efficiently.
· Notify appraisers of customer needs and assist with scheduling appointments.
· Generate Mitchell ABS Administrative Repair Orders and required documentation.
· Help coordinate rental car bookings and customer shuttle requests.
· Work with towing companies and manage vehicle intake into the compound.
· Assist customers in retrieving personal items from their vehicles, especially in total loss scenarios.
Daily Administrative Support
· Print production meeting reports for the next day.
· Enter and verify all repair orders, parts invoices, and insurance paperwork.
· Maintain clean, organized front desk and waiting area.
· File paperwork and track outstanding credits from vendors/suppliers.
· Answer all incoming calls in a courteous, professional manner.
· Book appointments and update records for the Director of Operations.
Customer Communication & Documentation
· Proactively follow up with customers regarding work-in-progress vehicles.
· Confirm delivery timelines and payment methods with customers.
· Create customer release packages (invoices, warranties, etc.).
· Manage incoming inquiries about repair status or general questions.
· Process customer payments, finalize paperwork, and obtain signatures upon vehicle pickup.
· Record customer concerns and refer them to the appropriate team member using internal documentation tools.
Cashier/Reception Duties
· Handle all invoicing, payment processing, and POS reconciliation.
· Keep front desk clear of clutter; store files properly and keep the area customer-ready.
· Maintain cleanliness of front office areas, including table setup and promotional displays.
· Monitor accounts receivable and follow up as needed.
· Notify shop personnel for minor building maintenance (e.g., clock changes, mat cleaning).
What You Bring to the Table:Experience & Technical Skills
· Previous experience in a front desk, customer service, or administrative role.
· Proficiency with Microsoft Office (Word, Excel, Outlook).
· Experience with management software such as Mitchell, ECARS, ARMS, or similar is an asset.
· Bonus: Experience in a collision repair, auto service, or dealership environment.
