Objetivo del cargo Apoyar sustancialmente en planificar, organizar, coordinar y asegurar un eficiente y eficaz registro y análisis de todos los procesos contables del Programa FLM – Programa Colombia y sus proyectos Descripción de las actividades: GESTIÓN Responsable de registro y causación de las operaciones de ingresos, gastos, cuentas por cobrar y pagar depreciaciones, etc. en el software contable HELISA de la organización generados desde la oficina de Chocó. Elaborar las requisiciones de pagos, cheques y alistar los lotes en el banco para su autorización de pago cuando sea requerido. Apoyar con la elaboración de los recibos de caja, pagos electrónicos, comprobantes de egreso, comprobantes de causación, de ajustes generados en la regional etc. Apoyar el análisis de las cuentas contables, brindando alertas y proporcionando soluciones y mejoras Apoyar la codificación de los presupuestos Apoyar los procesos de formación teórico-práctico en conocimientos contables al Staff de la FLM Participar activamente de las reuniones de equipo, administrativas y de planeación conjunta Responsable de controlar y monitorear las cuentas contables Apoyar sustantivamente el funcionamiento operativo de la Oficina Responder por un buen manejo de los anticipos que haga para las diferentes actividades o viajes Realizar las rendiciones de viaje de los anticipos a su cargo, con el lleno de los requisitos del donante y de los procedimientos administrativos de la FLM. Revisar todos los listados de asistencia y relación de talleres de los proyectos adjuntos en las rendiciones presentadas por los profesionales Apoyar el proceso de homologación de cuentas, creación de cuentas sistema local e internacional y demás actividades requeridas para el funcionamiento del software local e importación al SAGE online. Hacer seguimiento y apoyar el control de los archivos inventarios de equipos Bancos, Tesorería y Cajas menores. Elaborar, informar y conciliar los movimientos de todas las cuentas bancarias y contables. Realizar conciliaciones bancarias de la regional Apoyar el monitoreo de los flujos de efectivo de los proyectos a su cargo. Responsable de la custodia y uso correcto de las cajas menores. Responsable de atender los arqueos y conteo de caja menor requeridos por los supervisores. Acompañar el proceso de pagos semanales de la regional realizados desde la oficina de bogota y apoyar con la información y confirmación de pago a los proveedores de la regional. Auditoria Apoyar los procesos de auditoría locales, nacionales e internacionales y/o las visitas de donantes o personal de monitoreo Archivo Responsable del control del consecutivos de los documentos contables y orientar al equipo contable sobre su correcto uso mes a mes en la regional de choco. Responsable del archivar, salvaguardar y mantener al día los archivos físicos y electrónicos de la información financiera y administrativa de la oficina en Chocó y archivar digitalmente de forma mensual todos los documentos firmados y con los soportes completos. Envio mensual de la información física a Bogotá de acuerdo a los plazos y proceso establecido. Comunicación y Capacitación Participar activamente de las reuniones de equipo, administrativas y de planeación conjunta Sostener una comunicación constante y acertada con el oficial financiero y el equipo de gerencia sobre cualquier irregularidad que se presente en los procesos contables. Elaborar comunicados y demás documentos requeridos en trámites desde el área contable con proveedores, entidades bancarias y órganos de control. Apoyar los procesos de formación teórico-práctico en conocimientos contables al Staff de la FLM COL VEN Informes Responsable de la elaboración de todos los informes y procesos financieros y administrativos que se deban reportar de manera mensual, trimestral y anual a copartes, donantes de acuerdo a los formatos y tiempos establecidos en los acuerdos. Elaborar mensual el control presupuestal de los proyectos a su cargo, enviando mensualmente informe a los involucrados del proyecto generando un breve informe descriptivo del estado actual del proyecto. Apoyar la elaboración y presentación de información exógena Apoyar el control y monitoreo de las cuentas contables y la conversión a NIIF RESPONSABILIDADES GENERALES Asegurar la implementación eficaz de la política de seguridad de la FLM y velar por la implementación de los Códigos de Conducta y demás políticas institucionales de la FLM en el marco del proyecto Cumplir estrictamente con los procedimientos, manuales, políticas de la FLM/SM-CO. Garantizar que se establezca un proceso de comunicación bidireccional con los beneficiarios, por ejemplo, un mecanismo de quejas y comentarios sobre el que la gente esté informada respecto a la gestoría de casos Responder por un buen manejo de dineros en efectivo para los anticipos de viaje de las actividades. Realizar las rendiciones de viaje con el lleno de los requisitos del donante y de los procedimientos administrativos de la FLM. Velar por el buen cumplimiento de los procedimientos administrativos y de control que le correspondan, dentro del desarrollo de sus actividades en el marco del proyecto particular y de las políticas de la FLM.
