Description
Student Wellness Services in Student Experience and Support is currently seeking a Full-time Regular Student Wellness Clinic Manager.
Student Wellness Services supports and empowers students to achieve and maintain good health and well-being through family medicine/primary care, psychiatry, nursing, counsellors, Student Support Advisors, chiropractors, and massage therapists in a clinic setting. As a member of the Student Wellness Services team, this position reports to the Director, Health and Counselling Services and provides administrative supervision and clinical team leadership.
This position is predominantly located at the University of Calgary Main Campus; however travel to the other campuses may also be required. Work is of varying complexity, with peak periods and short time lines for completion. This position works week days, Monday to Friday, but on occasion, there may be the need to work outside of regular hours. There is a requirement for the role to be onsite at the SU Wellness Centre full-time to provide support for front-line staff, manage student/patient concerns, and provide in-person patient care.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Reporting manager for 3-4 medical office assistants & billing clerk.
  • Coaches staff on goal setting, performance, and development plans to support staff in achieving both personal and professional success.
  • Identifies potential training needs and makes recommendations to the Director, Health and Counselling Services.
  • Builds and leads a team with a clear sense of direction and results orientation.
  • Actively participates as a member of Wellness Services executive team and Student Wellness, Access and Support.
  • Assists in policy development related to SWS.
  • Assists with developing and implementing health education programs for students.
  • Sets and manages ongoing nursing templates and ensures minimum baseline staffing as required.
  • Maintains an orderly and efficient flow in the clinic and ensures that it is kept clean and maintained in a professional and orderly manner.
  • Manages schedule templates for counselling and mental health teams each semester.
  • Coordinates with Campus Security, Student Medical Response, and other departments regarding emergency medical situations on campus.
  • Oversees the completion of staff occupational health accident reports and forwards them to the Environmental, Health and Safety office.
  • Conducts and reviews electronic medical record (EMR) access logs monthly, identifies breaches in conduct, and investigates accordingly.
  • Accountable manager for unmatched and unassigned documents within EMR (Accuro), and performs regular checks to ensure that there is patient follow up and document reconciliation as required.
  • Collects and manages required certification and licensing, including but not limited to CPSA, CRNA, CLPNA, and CPR.
  • Coordinates and collaborates care and programming with physician and provider leads, Director, and other University stakeholders.
  • Works with Campus partners on staff/student influenza programming, FON/CSM/Vet Med program vaccination programming, Student Medical Response (SMR) operational leader, Health liaison for Campus Wellbeing Strategy.
  • Working with SWAS leadership, SES leadership, and financial partners, creates the annual budget for health clinic.
  • Working with the Director and Senior Director to create the annual budget for the health clinic, including submission of monthly variance reporting, and other financial reports as required.
  • Coverage for Director, Health and Counselling Services.
  • Acts as the Infection Prevention & Control key responsible person for the clinic, as the key liaison with CPSA, and must be regularly available onsite, at the clinic, to respond to any issues related to this requirement.
  • Maintains and assesses that all medical equipment is in good working condition and ensures all exam rooms are fully stocked with medical supplies as appropriate.
  • Subject matter expert for Medical Device Reprocessing, and leads any required work for accreditation and compliance with quality assurance requirements.
  • Key operational contact for CPSA regarding any IPC requirements for MDR or other.
  • Coordinates the ordering of medical supplies for the clinic.
  • Manages medical inventory of drugs, ensuring safe transfer of drugs and appropriate disposal of controlled drugs.
  • Monitors clinical equipment for regular maintenance and determines end-of-life status as required; and creates purchasing plans for end-of-life clinical equipment when needed.
  • Provides clinical support to nursing team when needed.
  • Oversees and provides nursing support for specialty clinics.
  • Manages and assists with immunization programs and initiatives.
  • Assists physicians as required, for example:
  • Reviews and assesses laboratory reports and informs appropriate provider.
  • Supervises the referral process to ensure appropriate referrals to other healthcare providers, and books tests as requested by physicians.

QUALIFICATIONS / REQUIREMENTS:

  • Bachelors degree in Nursing, or Licensed Practical Nurse diploma.
  • Current registration with CRNA or CLPNA.
  • CPR-C/BLS certification.
  • 3-5 years clinical practice in a primary care environment (medical clinic or other), or equivalent.
  • 1-2 years supervisory and/or leadership experience.
  • Experience building and leading collaborative work teams with demonstrated ability to supervise, organize, motivate, mentor and develop staff.
  • Recent experience and use of Accuro/Medeo/Ocean Electronic Medical Record, and super user advanced access required.
  • Recent experience managing a team of MOAs/reception and a demonstrated understanding of their workflows, with a demonstrated understanding of Health Information Management, including HIA and FOIP requirements.
  • Evidence of effective experience working as a part of an interdisciplinary team required.
  • Exceptional interpersonal and communication skills required.
  • Demonstrated highly effective critical thinking and problem-solving skills required.
  • Must be able to work independently and exercise accountability based on departmental policies and procedures.
  • Must be able to time-manage and prioritize in a constantly changing work environment.
  • Immunization administration experience is an asset.
  • Basic accounting experience and Alberta Health billing experience.
  • Strong knowledge of Alberta Health Services operating procedures, particularly Public Health immunization processes and programs is an asset.
  • Excellent computer skills, and experience in computerized medical software programs an asset.
