As the right hand to the Aquilini family’s executive assistant, you’ll be instrumental in supporting broad day-to-day responsibilities in executive administration, employee engagement, and office management. No two days look alike, from exposure to long-term projects such as social events or office upgrades, to quickly executing on last-minute personal requests. REQUIRED EXPERIENCE AND QUALIFICATIONS:
- 2+ years of experience in an administrative role
- Previous exposure to a family-owned corporate business environment or high net worth individuals would be an asset
- Proficient in MS Office
- Excellent written and verbal communication skills
- Self-directed with an ability to prioritize assigned duties
- Ability to maintain a high degree of discretion and confidentiality
- Comfortable working with diverse personalities and ever-changing priorities
- Professional, calm, can-do attitude
- Valid drivers license and access to a vehicle
- Available to occasionally work outside of normal business hours as needed
Responsibilities:
(Other duties may be assigned as required)
- Coordinate and execute professional and personal administrative requests from the Executive Assistant and leadership team
- Manage calendars (booking meetings, making reservations, scheduling appointments, etc.)
- Reconcile accounts and manage expenses
- Monitor and manage time-sensitive and confidential communication
- Prepare internal and external correspondence and maintain records
- Travel bookings and coordination
- Organize executive suite requirements for events at Rogers Arena
- Handle errands (e.g., deliveries, IT repairs, vehicle details, shopping, etc.)
- Assist with planning and executing key projects and events
- Act as a liaison between the Executive Assistant, ownership, senior management, and staff
- Maintain collaborative relationships with internal and external stakeholders
- Monitor for issues related to quality, confidentiality, and risk, and reporting as needed
- Backup for reception during lunch and vacation
- Respond to unexpected after-hours issues
