JOB TITLE: Administrative Assistant
DEPARTMENT: Document Production and Support Services
LOCATION: Philadelphia
OVERVIEW: Duane Morris LLP, a global law firm with 800+ attorneys in offices across the U.S. and around the world, offers innovative solutions to the legal and business challenges presented by today’s evolving global markets.
SUMMARY: This position will work closely with the Support Services department and Trial Legal Assistants to perform non-legal administrative tasks. Qualified candidates are self-starters with an interest in learning and growing within the law firm industry.

QUALIFICATIONS:

  • Proficiency in MS Word and Outlook (MS Excel and MS PowerPoint experience is a plus)
  • Strong organizational skills and attention to detail with the ability to balance multiple tasks
  • Excellent communication and time management skills
  • Excellent written/verbal communications skills
  • Ability to work independently and as part of a team with a commitment to client service
  • Flexibility to work overtime occasionally

EDUCATION AND EXPERIENCE:

  • High School Diploma (college degree preferred)
  • At least 1 year of experience in an administrative, office based role preferred

Responsibilities:

  • Type, edit and format non-legal documents
  • Scan, fax and copy documents
  • Assist with mailings and other organizational projects
  • Update and maintain electronic and paper filing
  • Assist with preparing materials for case preparation
  • Answer and direct phone calls
  • Assist with travel arrangements such as booking flights and hotel reservations
  • Process expenses, invoices and check requests
  • Process new business intake and related forms
  • Assist with other special administrative projects as needed
