Description:
McInnis & Holloway Funeral Homes, a family-owned company that has been part of the Calgary community and leader in the funeral services industry for over 120 years, is seeking a dedicated and skilled Administrative Specialist to join our dynamic and growing team. With 10 locations in the Calgary area and a staff of over 130 amazing people, this role offers plenty of variety in day-to-day tasks, a positive work culture, and a supportive team environment.
This position works 5 days / 37.5 hour week with every second weekend off.
Responsibilities:
- Answer telephone calls and in-person inquiries from families
- Receive the “First Call” information and assist in arranging the details of different cultures’ death process
- Ensure that the required and official documents of a death are correct (names and dates confirmed) and are filed correctly. These may include Form 4s, Funeral Director Statements of Death, Death Certificates, Burial Permits, Registrations, Medicals, and other government documents
- Assist with the details of identifications and visitations, which may include contact with a decedent, and confirming handling of personal effects, as well as any other requests from families
- Prepare obituaries and cost estimates for newspaper submissions and distribute to newspapers
- Create document files that capture all details of individual services and costs
- Enter additional costs as required to planner, case notes, and financial contracts
- Receive and distribute internal and external mail and shipments and process outgoing mail and shipments
- Complete general office duties such as ordering office supplies, filing, copying, booking meeting rooms, payment processing, etc.
- Contact hospitals and the Medical Examiner’s Office to confirm that the decedent can be transferred into the care of McInnis & Holloway
- Other tasks as assigned
