Description:

We are looking for an Administrative Supervisor to join our growing team! The ideal candidate would lead, manage and oversee administration in various locations in Alberta. Supporting the District Manager with current, detailed and accurate business administrative requirements among assigned tasks.

REQUIREMENTS:

  • Confidence in ability to work in a constant changing work environment.
  • Experience leading a team
  • Ability to work closely with HR and upper management
  • Problem solving skills would be considered an asset
  • Excellent communication skills and the ability to work in a team environment
  • Self-starter with the ability to manage multiple tasks and meet deadlines
  • Ability to travel to job/office locations to interact with team and provide support

Responsibilities:

  • Oversee front desk administration ensuring accuracy and time efficiency
  • Monitor the phone system for coverage
  • Supervise paperwork flow and consistency of employees’ workloads
  • Support interdivisional billing
  • Review invoicing and expense payments for employees through Workday
  • Assist with routine paperwork collection, filing, tracking, data entry, invoicing and rebating
  • Oversee agency billing, claims, submissions and audits for Alberta divisions
  • Oversee OMS processes within Alberta
  • Supervise the team and offer support daily
  • Give employee reviews, discipline and constructive discussions if needed
  • Approve vacation requests for the team
  • Approve expenses for employees
  • Provide coverage as backup if needed
  • Respond daily to emails and urgent requests
  • Complete monthly reporting for Alberta
  • Actively support the Account Receivable Division
  • Complete monthly review and expense accruals before submissions each month
  • Support the District Manager monthly on the P&L reviews
