Our client, a US based company, is seeking a part-time Client Relations Manager to join their team. As a Client Relations Manager, you will play a crucial role in maintaining and growing positive relationships with clients. The ideal candidate will have exceptional communication skills, a customer service mindset, and the ability to work remotely.

REQUIREMENTS:

  • Experience in Client Relations & Compliance Management: Preferably in tax, legal, or finance industries.
  • Strong Administrative Skills: High attention to detail, ability to manage multiple tasks, and strong organizational skills.
  • Tech Proficiency: Familiar with HubSpot, ClickUp, or similar CRM platforms. Experience with billing platforms like QuickBooks or Stripe is a plus.
  • Great Communication: Strong written and verbal communication skills to handle client interactions and internal correspondence.
  • Problem-Solving Mindset: Able to proactively identify potential issues and implement solutions.
  • Adaptability & Confidentiality: Since this person will handle sensitive client information, they must be adaptable and trustworthy.

Responsibilities

  • Client Relations Management:
  • Serve as the primary point of contact for client questions, requests, and updates.
  • Onboard new clients, gather necessary documentation, and ensure a smooth transition into your services.
  • Respond to client inquiries promptly and escalate complex issues to you as needed.
  • Compliance & Entity Management:
  • Handle state filings, entity registrations, and compliance tasks such as annual reports and business license renewals.
  • Keep track of all deadlines and state requirements, ensuring no compliance lapses.
  • Coordinate with external providers like CorpNet for state filings and ensure all necessary documentation is submitted.
  • Virtual Assistant Duties:
  • Manage your calendar, schedule meetings, and follow up on tasks.
  • Draft and respond to emails on your behalf, ensuring a professional and consistent tone.
  • Maintain a high level of organization for your inbox, prioritizing key items for your review.
  • Billing and Invoicing:
  • Prepare and send out invoices for clients, track payments, and follow up on overdue accounts.
  • Coordinate with your bookkeeper for financial records and billing reconciliations.
  • Handle client billing queries and payment plan arrangements.
  • Workflow and Process Management:
  • Create and optimize workflows in your CRM (e.g., HubSpot, ClickUp) for onboarding, compliance, and client management.
  • Implement automation for repetitive tasks using tools like Zapier, HubSpot workflows, or ClickUp automations.
  • Client Experience Enhancement:
  • Conduct regular client satisfaction surveys, provide updates on ongoing projects, and implement feedback to improve client relations.
  • Organize and track client calls, follow-ups, and quarterly meetings.
