Description:
POSITION SUMMARY
Cambrian College’s School of Nursing requires a full-time Department Support Officer.
QUALIFICATIONS
Required:
- Three-year postsecondary diploma or degree. (A copy of educational documents must be submitted with application * education completed outside of Canada, applicants are required to submit a WES or ICAS with their application).
- Five years of related experience with direct academic loading, budgetary experience, and project management.
- Experience working in a high paced environment that required balancing of multiple tasks simultaneously with frequent interruptions.
- Excellent customer service, communication, research, and analytical skills.
- Excellent interpersonal skills and the ability to exercise tact and good judgment.
- Collaborative professional who promotes teamwork and works cohesively within a team-oriented environment.
- Proficiency in Microsoft Office software (Word, Excel, Outlook) and data sharing tools (Microsoft Forms, MS Teams).
Responsibilities:
- Provide support to the Dean and Chair related to business and operational matters including the identification, coordination, analysis, and communication of key processes and critical issues/concerns raised by the stakeholders, including students, faculty, other college departments and community partners.
- Act as a point of contact between the Dean, Chairs, and the School to manage issues and urgent matters based on policies and processes.
- Represent the Dean or Chair in dealing with student and faculty inquiries and liaison with various College departments.
- Facilitate the academic loading process including enrolment projections, curriculum, start-up reports, exception reports, loading charts for all programs, coordinate the distribution of loading sheets and SWFs, and update SWFs to reflect audited enrolment.
- Work closely with the Enrolment Centre regarding curriculum, admission requirements, registration, student data on Cambrian systems, scheduling, and related policies and procedures.
- Coordinate and prepare data or support materials for presentations, reports, data analysis, or other correspondence in coordination with the Dean and Chairs.
- Compose material and write correspondence to support Nursing admin., student and faculty initiatives to ensure processes are followed and to meet timelines related to program mapping or Tier II reviews and accreditation processes.
- Support special projects that are related to post-secondary and continuing education opportunities.
- Coordinate departmental involvement in registration, Open House, Cambrian Day, and other special events.
- Prepare and monitor departmental budgets, compile and analyze financial data and provide recommendations to the Dean and Chairs, as appropriate.
- Monitor and coordinate preparation of the School’s budgets including annual estimates, budgetary controls, expenditure/submission forecasts, plan submissions and commitments, status and variance monitoring and reporting; develops and maintains spreadsheets for ongoing budget tracking.
