Description:

JOB SUMMARY

The role holder will be a part of the Committee Secretariat Team, focussing on secretariat support for Key Risk and Compliance Committees of the bank as well as general governance and policy matters related to committee operations and risk governance tasks. These Committees are attended by senior management of the Bank. The role holder will work in close alignment with a dedicated onshore manager that covers content driven topics and senior stakeholder management, the Chairperson, nominated representatives.

SKILLS AND EXPERIENCE

  • Bachelor Degree qualifications and minimum of 12-15 years of experience in financial services, preferably in a Bank with a specialisation in risk management
  • Experience in a Committee Secretariat Role
  • Experience in financial services, preferably with subject matter expertise in risk management. A specialisation in a risk discipline will be favourable.
  • Excellent communicator, in particular written communication in English; able to write and review papers and minutes and write meaningful and clear e-mails. Candidates will be asked to complete a writing test set by the hiring manager.
  • Be able to interact well with senior stakeholders.
  • Strong analytical skills, able to connect the dots.
  • Personable and collaborative; working as part of a broader team to ensure a coordinated and consistent approach.
  • Good organiser of incoming requests within the team.
  • Ability to work independently with minimal direction. Practical.
  • Demonstrate understanding of and commitment to the Group’s core values.
  • Ownership mindset, able to think creatively and be open to new ideas.
  • Able to work with tight deadlines and multiple demands.
  • Proactive, problem-solving, helpful
  • Strong experience in MS Outlook, Word, Excel, Power Point

Responsibilities:

  • Support the team with daily secretariat support for the running of Committee meetings
  • Daily secretariat support for the running of various Committee meetings (put together Committee and Chairperson packs, write to authors for papers/ Chase for papers, review of the papers for formatting/ adherence to paper guidelines, track committee action items etc.)
  • Support on general governance and policy matters related to committee operations and risk governance tasks (execute operational risk controls, lead annual Committee Effectiveness Review (CER), oversee meeting day logistics, maintain the Committee Governance Standards, Terms of Reference, and Committee Structure pages on the Bridge/intranet ect.)
  • Provide materials as requested by external and internal parties, subject to approval
  • The role holder will need to support the establishment and documentation of efficient processes and effective controls to ensure day-to-day high-quality execution of secretariat duties
  • Work in close collaboration with the stakeholders and Head Committee Secretariat to continuously ensure high quality deliverables as well as process improvements
  • Work in close collaboration with the Chairperson and other committee members\invitees, to continuously ensure high quality deliverables
  • Engage internal and external stakeholders to facilitate the smooth running of committee meetings, such as writing to presenters to ensure that they are on standby to attend the meeting and assisting to put together meeting packs for the Committees and the Chairperson.
  • The role holder will need to support development and stabilisation of newly formed teams, working across GBS locations
  • Closely monitor each team members KPIs and engage with stakeholders to ensure the team is delivering quality services exceeding expectations
  • Understand the escalation matrix and pro-actively act in time to avoid any issues
  • Have regular 121 with team members to discuss the good work, appreciations from stakeholders/team members, career path and areas of improvement
