The Role & Key Responsibilities

The File Support Assistants will be part of the File Support Team and will be responsible for quality assurance, review and build of Manual of Guidance forms and other case file documentation as required according to the latest Director General Guidance.
In this role you will provide a high-quality customer focused support and administration service, ensuring the timely completion of Manual of Guidance forms and other case file documents, (e.g. PNC Prints and custody records) as required according to the latest Director General Guidance.
You will also take responsibility for efficiently facilitating the digital uploading of case file documents to Niche whilst ensuring effective case progression of each case; to minimise the burden on frontline staff.
The role expects you to proactively identify potential blockers to effective service delivery and take action to overcome inhibitors to case progression; to assist Officers with the building of Not Guilty Anticipated Plea (NGAP) prosecution files for court through the completion of evidence and supporting documentation in accordance with Home Office guidance and liaise with the Officer in the case and determine the assistance to be provided and proceed accordingly.
As a File Support Assistant your duties will also include:
- To co-ordinate with the Crown Prosecution Service and manage expectations in relation to timescales for delivery.
- Obtain any evidence / statements from relevant colleagues and circulate disclosure request forms to those involved in the investigation.
- Ensure all digital evidence is in the correct format; clipping and redacting where it is required.
- Create and maintain accurate and comprehensive disclosure schedules for all relevant unused materials collected during a criminal investigation for the Officer in charge (OIC) to review and approve.
Skills & Experience
We are seeking individuals with the following skills, knowledge and/or experience:
- Educated to GCSE level Maths and English or equivalent level experience
- Proven ability to accurately review and assess information from a variety of sources in a timely manner.
- Problem solving - Ability to problem solve in a fast-paced environment, connecting the links to other business areas / issues. Ability to diagnose the cause, propose options for resolution and proactively deliver the solution themselves or through others.
- Communication – confident communicator with an ability to engage quickly and build effective working relationships with a diverse range of stakeholders. Ability to competently contract, influence and articulate options to all levels.
- Proven customer service experience.
- Proven ability to deliver high quality work with minimal supervision in accordance with agreed timescales.
- Proven ability to appropriately manage sensitive and confidential information.
- Good IT literacy - ability to do basic analysis of trends in data reporting to be able to produce clear summaries, and present accurate data, requiring a keen eye for detail.
- Accurate typing skills and attention to detail
- Proven ability to work effectively within a team whilst managing their own caseload.
- Sound understanding of the Police Service and the context in which it operates.

This role can be performed using hybrid working, working from the office and other locations including home.
You will need to commit to be based in the office for the initial training (we anticipate it will be a 4-week period).
