Reporting directly to the Human Resources Manager, the Human Resources Administrator will play a key role in supporting various administrative functions within the Human Resources department. This role involves assisting with recruitment support, coordinating new hire set-ups, and managing document tracking. The HR Administrator will also handle scheduling training sessions, supporting the planning of employee events, and performing a variety of administrative tasks as needed. Working closely with the HR team, this role will contribute to the efficient operation of HR processes and support the overall effectiveness of the HR team, ensuring smooth execution of daily activities and special initiatives.

QUALIFICATIONS

  • Proven experience in general office administration and data tracking.
  • Excellent organizational and multitasking abilities, with a high level of attention to detail.
  • Proficiency in office software (e.g., Microsoft Office Suite) and a willingness to learn new technologies.
  • Excellent phone etiquette and interpersonal communication skills, capable of interacting effectively with candidates and staff.
  • Strong verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Familiarity with database management systems is advantageous.
  • Ability to work efficiently in a dynamic, fast-paced environment and assist with various administrative tasks as needed.
  • Successfully complete and pass a Vulnerable Persons Criminal Record Check prior to initiating employment and annually thereafter.

Responsibilities:

  • Manage job postings, schedule interviews, and handle candidate communications until completion of the interview process.
  • Support new hires by setting up email accounts, providing access to necessary software, and assisting with other initial requirements.
  • Monitor and manage certifications, training completions, and expiration dates to ensure all documents are current.
  • Source, schedule, and organize training opportunities for staff, including but not limited to CPR, ASSIST, and Naloxone courses.
  • Organize and maintain HR inboxes to streamline communication and workflows.
  • Serve as the primary point of contact for prospective candidates, providing welcoming and professional communication over the phone.
  • Contribute to various Human Resources functions as needed.
