Description:

As the Office Secretary, you will play a crucial role in ensuring the efficient operation of administrative activities within the company. Your responsibilities will include managing daily administrative tasks, facilitating communication among the management, staff, and coordinating logistics for various departmental activities.

THE REQUIREMENTS:

  • Bachelors degree in Business Administration, Office Administration, or a related field.
  • Proven experience as a secretary, administrative assistant, or in a similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to handle confidential and sensitive information discreetly.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently and collaboratively as part of a team.
  • Previous experience in an administrative role within an academic or complex organizational setting is preferred.
  • Familiarity with administrative procedures and practices in a university or higher education environment.
  • Knowledge of Philippine higher education policies and regulations is advantageous.
  • Fluency in Filipino and English languages is required.

Responsibilities:

  • Manage daily administrative activities to ensure smooth operations within the department.
  • Schedule appointments, meetings, and events for faculty and staff members.
  • Prepare and distribute correspondence, memos, reports, and other documents as needed.
  • Maintain accurate records and files, both electronic and hard copy, ensuring confidentiality where required.
  • Coordinate logistics for meetings and events, including room reservations, catering arrangements, and technical equipment setup.
  • Assist in preparing materials for presentations and academic programs.
  • Serve as a point of contact for inquiries from students, faculty, staff, and external stakeholders, providing information and assistance as needed.
  • Provide general administrative support such as photocopying, filing, and managing office supplies inventory.
  • Perform other duties as required.
