Description:
JOB TITLE: Plant Services Administrative Assistant
LOCATION: Houston
POSITION REPORTS TO: Sales Manager
WAGES: Commensurate with experience
SCHEDULE: Monday through Friday: 8:00 am - 5:00 pm. Some overtime and weekends will be required.
REQUIREMENTS
- Minimum 1 year of administrative experience
- SAP knowledge and experience
- Must be local, willingness to work in the office (live within 60 miles)
- Must be responsive, highly organized, detail-oriented and committed to follow-through on tasks and projects
- Successful time management skills, handling multiple responsibilities with a sense of urgency
- Must exercise good judgment, escalating concerns when necessary
- Ability to work independently with minimal guidance and direction
- Excellent verbal and written communication skills
- Strong proficiency in Microsoft Office Word and Excel
Responsibilities:
- Provides administrative support to the Plant Services Team
- Fields and assists with incoming calls, also provides phone coverage for Plant Services Team when needed
- Prepares and submits quotes for oil filtration projects
- Assists with coordinating upcoming jobs, including scheduling, equipment, personnel, etc.
- Collects and reviews paperwork to ensure information is complete and ready for billing
- Creates and maintains various spreadsheets on current and potential jobs, paperwork, equipment, personnel, etc.
- Processes fuel, lubricant, and tank orders as needed
- Obtains, creates, and submits purchase orders
- Communicates and works effectively with all departments and team members
- Escalates customer concerns
- Analyzes tank reports for monthly completion requirements
- Proactively identifies sales prospects in Salesforce and communicates with manager for follow up
- Attends sales trainings for retention and growth of product knowledge
- Communicates new product and service opportunities, special developments, information, or feedback gathered through field activity to appropriate company staff
- Coordinate with customer on shipping schedules and delivery of merchandise and services
- Updates Salesforce daily to maintain accurate and complete information
- Regular and predictable on-site job attendance is an essential function for this position
- Attends and helps coordinate action items on Turn Around projects as needed
- Other related tasks and projects as assigned by manager
