REQUIREMENTS:

• 1+ years of experience in a wellness administration or similar role with a focus on client care.
• Proficiency in scheduling software and administrative systems, such as Jane, and familiarity with communication tools (text and phone).
• Strong communication and interpersonal skills with a welcoming and professional demeanour.
• Experience with insurance billing and understanding of claims processes.
• Excellent organizational skills, attention to detail, and a proactive approach to managing clinic operations.
• Ability to create engaging social media content and a passion for promoting wellness services.
• Positive attitude, team-oriented, and driven to contribute to a supportive and dynamic work environment.

• Provide exceptional client service and hospitality, aligning with our clinic’s mission, values, and wellness services.
• Greet clients warmly and introduce them to our offerings through clear, on-brand communication in person, via phone, and in writing.
• Oversee scheduling and appointment management, including booking, optimizing practitioner schedules, and managing waitlists.
• Handle administrative tasks such as insurance billing, claims processing, and guiding clients through the claims submission process.
• Maintain clinic cleanliness and organization, including treatment rooms, common areas, and restocking supplies.
• Create and manage content for our social media platforms to promote our wellness services and engage with our community.
• Perform daily operational tasks such as opening and closing the clinic, managing laundry, and ensuring all areas are tidy and well-maintained.
• Support marketing initiatives and client follow-ups, contributing to business development and outreach efforts.
• Communicate effectively with all clinic staff to ensure smooth shift transitions and collaboration.
• Provide feedback and insights on client experiences and operational efficiency to help enhance clinic performance.
• Manage direct billing for insurance claims, ensuring that claims are accurately processed and submitted to insurance providers.
