About the role

This dual role combines Allied Health Assistant (AHA) and Administrative Support responsibilities. You'll work closely with our OTs and Clinical Director to deliver high-quality client experiences - from assisting in therapy sessions to coordinating bookings and keeping our clinic running smoothly. The role is roughly 50% clinical / 50% administrative, with flexibility depending on your skills and interests.

Key responsibilities

Allied Health Assistant Duties include:

  • Therapy planning, implementation & client support for children and families
  • Prepare and maintain therapy spaces and materials
  • Communication & Stakeholder Liaison
  • Complete intake calls, triage enquiries, and liaise with clients and the clinical team about bookings and waitlists
  • Documentation & Record-Keeping

Administrative Duties include:

  • Client-Facing Administration tasks (Managing reception and client communication)
  • Processing payments (Medicare claims, and NDIS line items), reconciliation and expence tracking
  • Administrative Systems & Documentation - File management across Splose, Xero, Teams
  • Practice management support - Overseeing daily office operations
  • Human resources support - Tracking rosters, leave requests and payroll
  • Executive Assistant Support (to the Clinical Director)

About you

Required

  • Certificate III (or above) in Allied Health Assistance, or, equivalent experience (such as relevant child development studies). You must have either completed this, or be in the process of completing this, in order to qualify for this position.
  • Blue Card (Working with Children) & NDIS Worker Screening
  • Basic administrative and computer skills (comfortable with Microsoft Office, Splose, Canva, etc.)
  • Ability to work independently (under clinical supervision)
  • Compassionate, innovative, adaptable, and highly organised
  • A warm and professional communicator who enjoys problem-solving and teamwork
  • A genuine interest and passion for working with young people
  • Comfortable with dogs in the office (as we have therapy dogs on site)

Desirable:

  • Experience in allied health, education, or community services
  • Familiarity with Australian health funding systems
  • Understanding of Splose (or similar practice management software)
  • Experience in previous administration roles
  • Experience working with children/young people
