Responsibilities:

ROLE OVERVIEW

This position is ideal for a proactive Executive Assistant with excellent organizational skills, ideally with prior experience in a fast-paced corporate environment for a 12 month FTC.

KEY RESPONSIBILITIES

  • Manage diaries across various global time zones.
  • Coordinate meetings (both internal and external), including preparation of meeting rooms and materials (including printing and binding).
  • Arrange travel and accommodation for the regional team.
  • Provide support to visitors from overseas offices.
  • Coordinate with Reception for meeting room arrangements and hospitality, including issuing guest passes.
  • Assist in organising large-scale client events, including scheduling, material preparation, and onsite support.
  • Prepare and submit expense reports monthly in accordance with company policy.
  • Maintain confidential files for team members in compliance with GDPR.
  • Provide support to other Executive Assistants and administrative staff during quiet periods, absences, and holidays.
  • Handle routine inquiries and confidential correspondence, as well as sorting post.
  • Assist in planning social events within the team.
  • Perform other ad hoc duties as requested by the team.
