Description:

We are seeking a skilled and proactive Trilingual Executive Assistant fluent in English, Spanish, and Russian to undertake various administrative tasks and provide support to senior-level managers. The Executive Assistant will manage calendars, arrange travel, and handle expense reports. To excel in this role, you must be organized, possess strong time management skills, and be capable of working independently. Ultimately, your contribution will enhance our business efficiency by offering personalized and prompt support to executive members.

REQUIREMENTS

  • Work experience as an Executive Assistant, Personal Assistant, or similar role
  • Proficient in English, Spanish, and Russian (spoken and written)
  • Excellent MS Office and Google Workspace knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office platforms and applications
  • Excellent verbal and written communication skills
  • Discretion and confidentiality
  • High school or bachelor’s degree
  • Attention to detail and proactivity skills

Responsibilities:

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Act as an office manager by keeping up with office supply inventory
  • Manage internal and external communication channels
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Look for social events
  • Manage billing and invoicing if necessary
  • Manage social media platforms if necessary
