Absence & Disability Management Specialist
Job Purpose:
As part of the People Services team, the Absence & Disability Management Specialist is responsible for the daily operations of Absence Management in alignment with our People Services and PP&C objectives. This position supports and provides services to employees, managers and HR Business Partners across multiple Canadian locations. In this role you will manage all aspects of the claims administration process, ensuring compliance with all applicable legislation and Element’s policies and procedures. You will collaborate with internal and external stakeholders to ensure positive return-to-work outcomes with key focus on safety and a positive employee experience.
In partnership with the Director of People Services the Absence & Disability Management Specialist will support the continued optimization of absence procedures, policies, tools, and standards.

Key Responsibilities:

  • Serves as the key resource for questions and assistance relating to employee extended absences.
  • Administers and processes extended leave requests and serves as the first point of contact for employees, managers and HR; Tier 1 support for absence related tickets.
  • Acts as the subject matter expert on all aspects of leave within Canada including non-occupational leaves and return-to-work plans.
  • Provides support to the U.S. Benefits Specialist for leaves including ADA, FMLA, Paid Parental Leave, Military Leave, Jury Duty, Medical and other leaves of absences.
  • Works with managers and HR Business Partners to track and monitor all absences and leaves; coordinates leave of absences with all relevant parties including employees, managers, HR, payroll and Benefits.
  • Researches employee absences and applies appropriate legislative standards per federal and provincial regulations to resolve routine and complex cases and issues.
  • Prepares metrics and absence reports for Director of People Services and Director of HR on leaves and absences.
  • Partners with Element’s 3rd Party Administrator to manage activity throughout the claim life cycle; facilitates the return-to-work process and coordinates the medical accommodation process.
  • Develops and documents new policies and procedures in alignment with company policies to better serve employees and managers.
  • Partners with the U.S. Benefits Specialist to develop new and revised form templates related to leaves and absences, as needed.
  • Works with the HR Business Partners to plan for new procedure training, monitoring work once new processes have been implemented to evaluate outcomes, ensuring internal compliance, and identifying any ongoing training needs.
  • Liaises with managers in other departments within the company on any process or procedure issues impacting leaves of their staff.
  • Works collaboratively with other departmental leadership to ensure consistency of processes throughout the organization, as well as identifying areas of opportunity to improve client service as well as internal partnership efficiencies.
  • Other duties as assigned.

Qualifications:

  • 5+ years of progressive experience in absence and disability management in Canada (and preferably with US knowledge).
  • Strong knowledge of insurance policy interpretation, adjudication, explanation to stakeholders and leave operational policies.
  • Strong knowledge of Canadian Human Rights Legislation and preferably US related legislation.
  • Exceptional customer service skills, shows initiative and demonstrates accountability.
  • Strong problem-solving skills and attention to detail.
  • Strong interpersonal skills in facilitation, negotiation, and conflict resolution.
  • Strong written and verbal communication, analytical and strategic thinking.
  • Proficiency in Benefits Administration Platforms, Workday HCM and ADP systems.
