A combination of related education and experience may be considered.

  • A post-secondary education in business administration or a related field.
  • Some College or University education an asset.
  • A minimum of five years progressively responsible administrative and/or clerical experience.
  • Advanced experience with Microsoft Outlook, Word, Excel, PowerPoint and other software, such as Adobe, MindManager and One Note.
  • Familiarity with online video streaming and conference applications (i.e. Teams, Zoom)

Preferred Qualifications and Experience:

  • Experience providing direct academic support to faculty in a post-secondary environment is an asset.
  • Experience providing administrative support to senior level managers or executives an asset.
  • Experience with large academic projects such as program accreditations, academic transformation activities, and projects involving multiple stakeholders

Responsibilities:

  • Track fulfillment obligations regarding memorandums of understanding, articulation agreements, accreditation agreements and vendor related contacts as required.
  • Assist in preparing proposals for projects, grants and applied research activities.
  • Liaise with Executive Assistants to facilitate inter-departmental activities and communication with the School of Health, Hospitality, Human Services and Post Graduate Studies (HHHPGS).
  • Ensure reports are completed and submitted on schedule.
  • Coordinate research and analysis activities with the business and research analyst assigned to the academic division of MITT.
  • Collaborates with MITT communication and event staff to ensure that academic initiatives are professionally managed.
  • Support multiple academic calendars, prioritizes appointments, and resolves scheduling conflicts, in an effort to ensure the effectiveness of the academic operations of MITT.
  • Provide support to (academic) committees chaired by the Dean, arranges meeting facilities, coordinates logistics, prepares and distributes materials as needed, takes and distributes minutes.
  • Prepare detailed itineraries and materials for meetings hosted and attended by the Deans and is responsible for the distribution materials to the appropriate parties.
  • Demonstrate superior written and verbal communication skills when dealing with internal and external clientele.
  • Copy edits/proofreads reports and documents for accuracy, makes required revisions and provides Deans with corrected versions for sign-off.
  • Compose and prepare written documentation and correspondence for the Dean’s office; screens.
  • In collaboration with the Registrars Office, the ASO aids with program scheduling/timetabling to ensure that staff are compliant with the academic calendar.
  • Act as the academic liaison between other departments within MITT in support of cross-departmental coordination of logistics for activities such as events and marketing initiatives.
  • Gather, enter, and update data to maintain departmental records and databases.
  • Exercises confidentiality and discretion in communicating information to faculty, students, staff and the public; handles administrative records and files, personnel actions/decisions, performance evaluations, grades, etc., ensuring compliance with MITT privacy policy.
