ABOUT US

The Office of the Registrar is dedicated to helping our students achieve their academic goals by providing to the Western community an array of integrated student related services in a confidential and professional environment. This includes providing exceptional service to current students as well as prospective students from the initial point of interest in undergraduate programs at Western, through the information gathering, application, and admission processes.
Examination Services within the Office of the Registrar provides student support for in-person assessments (tests, quizzes, and exams) including accommodated assessments for students with disabilities. This includes in-person support for accommodated students who require special testing arrangements.

Education:

  • Community College Diploma in an administrative field
  • University Degree preferre

Experience:

  • 1 year of administrative experience providing customer servic

Skills, Abilities & Expertise:

  • Knowledge of and adherence to University policies
  • Excellent written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
  • Computer skills with the ability to learn and use software programs
  • Proficiency in Microsoft Office Suite and experience with document management systems such as Laserfiche
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to follow formal business practices with high attention to detail
  • Ability to multi-task and maintain an organized and effective personal work environment
  • Adapts readily and effectively to changing priorities and demands
  • Personable and courteous in working relationships with colleagues, students and the public
  • Demonstrated ability to understand and resolve external and internal partner issues
  • Ability to work independently and effectively as a member of the team to achieve department goals

Responsibilities:

The Accommodated Exams Support plays a crucial role in supporting the smooth operation and integrity of exam processes, particularly in relation to student accommodations. The incumbent will:

  • Ensure and maintain the confidentiality, accuracy, and integrity of all exam content, particularly in relation to student accommodations and adherence to university policies.
  • Be responsible for the precise and efficient preparation, printing, packaging, and distribution of exam materials tailored for students requiring accommodations.
  • Inspect all exam materials for inconsistencies and discrepancies, implementing corrective actions as directed to maintain the integrity of exam materials.
  • Work closely with Exam Coordinators to ensure urgent tasks are completed efficiently and accurately.
  • Coordinate the distribution of exam materials to various examination locations within the university.
  • Track and document the movement of exam materials to ensure accountability and security.
  • Check student attendance and administer assessments based on individual accommodations.
  • Monitor online chat activity for student issues through the online chat portal during scheduled assessments.
  • Provide troubleshooting for remote proctoring software (OWL/Proctortrack) in a time-sensitive manner.
  • Support instructors and faculty staff through MS Teams and emails outside of scheduled exams.
  • Efficiently organize and manage digital documents using Laserfiche, enhancing accessibility and retrieval for team members.
  • Manage the front window, providing assistance to students and instructors.
  • Participate in daily/weekly team meetings and training sessions as required.

Qualifications

Education:
