We are looking for a highly organized and detail-oriented Accounting Administrative Assistant to assist in the completion of Duty Drawback claims (K32) and Duty Deferral submissions (K90) with the Canada Border Services Agency (CBSA). In this role, you will ensure compliance with Canadian customs regulations, support the recovery of duties through the Duty Drawback program, and oversee the management of Duty Deferral submissions. This position requires an in-depth understanding of Canadian customs laws, strong attention to detail, and the ability to navigate complex regulatory frameworks while working with CBSA to ensure smooth and efficient processing.

EXPERIENCE, EDUCATION & DESIGNATIONS

  • Diploma or certificate in Office Administration, Accounting, Finance, or a related field, or an equivalent combination of education and experience is preferred

KNOWLEDGE, SKILLS & ATTRIBUTES

  • Attention to Detail: Strong attention to detail with the ability to analyze complex information and ensure accuracy in claim preparation.
  • Communication Skills: Excellent verbal and written communication skills for effective interactions with CBSA, clients, and internal teams.
  • Problem-Solving: Ability to resolve issues independently and efficiently, applying critical thinking and knowledge of customs regulations.
  • Tech-Savvy: Proficient in Microsoft Excel and database systems to track and manage claims and submissions.
  • Time Management: Ability to prioritize tasks effectively and work independently, meeting deadlines in a part-time, flexible work environment.

Responsibilities:

  • Assess eligibility for Duty Drawback claims and ensure all criteria under the Customs Act and CBSA policies are met.
  • Prepare, complete, and submit Duty Drawback claims (K32) to the CBSA with accurate supporting documentation
  • Track claim statuses and maintain organized records to monitor claim progress and ensure timely resolution.
  • Liaise with CBSA officials to address any queries or issues regarding Duty Drawback claims.
  • Analyze import/export data to identify potential Duty Drawback opportunities, ensuring compliance and maximizing recovery.
  • Manage and prepare Duty Deferral submissions (K90) for approval by the CBSA, ensuring all required documentation is accurate and complete.
  • Ensure compliance with CBSA terms and deadlines related to Duty Deferral programs, tracking ongoing accounts and ensuring timely action.
  • Monitor and stay updated on changes to customs regulations and policies related to Duty Drawback and Duty Deferral.
  • Prepare periodic reports on the status of claims and deferrals and provide updates to internal stakeholders.
  • Advise the team on any regulatory updates, helping ensure the business remains compliant with current trade laws.
