Description:

Accounting & Compliance Officer– UVic Industry Partnerships Inc. (Part Time)
UVic Industry Partnerships Inc. (UIP) is a wholly owned subsidiary of the University of Victoria that supports intellectual property (IP) management and commercialization activities at the university. Reporting to the President of the corporation and working closely with Innovation managers at the University’s Innovation and Partnerships Office (IPO) the Part-Time (14 hours per week) Accounting Officer performs the following:

Financial Coordination

  • Tracks all UIP spending on intellectual property and spin-off companies and reports on balances available to maintain services
  • Maintains financial records in database tied to individual projects, with accurate information regarding historical expenditures, so that business decisions can be made on a project-by-project basis
  • Undertakes planning and budgeting to estimate upcoming patent expenditures
  • Works with UVic financial accountants and auditors to prepare financial statements and asset valuations
  • Coordinates annual financial audit

Patent and License Compliance Coordination

  • Tracks patent budget
  • Dockets patent activity and tracks financials
  • Tracks and monitors all contracts (licenses and agreements)
  • Coordinates payment and administration of patent maintenance fees
  • Coordinates invoicing, including receipt and disbursement of revenues to partners and inventors
  • Coordinates matters related to withholding taxes, associated tax matters in foreign jurisdictions, and GST/HST

Reporting and Records Management

  • Maintains UIP records in database
  • Maintains electronic and paper files, including archived files
  • Prepares and reports financial results to UIP Board of Directors
  • Works closely with the UIP President to prepare year end and board meeting materials

Required Skills

  • Demonstrated skills and experience to effectively perform the duties as described above, particularly in financial administration
  • Experience working with databases and financial software
  • Previous employment working with finances and budgeting
  • Highly responsible, tactful and thoroughly discreet in dealing with confidential information
  • Ability to multi-task and to function independently and in teams
  • Flexibility as it relates to shifting job duties and responsibilities
  • Excellent interpersonal, oral and written communication skills

Preferred Skills

  • Previous work experience in accounting or finance
  • Knowledge of and familiarity with UVic financial systems, policies and procedures
  • Experience in dealing with government and other public sector institutions and agencies

Educational Requirements

  • Degree, diploma, or certification in business administration/accounting, or a relevant field
  • Consideration will also be given to applicants with an equivalent combination of education and experience

Eligibility: Applicants must be Canadian citizens or have permanent residency status
Salary: $34-$40 per hour depending on experience and certifications
Term: This is a one year-term position. The position will be reviewed on an annual basis.
Position Start Date: Immediate
Hours and Days: To be determined by the parties. They will be during regular office hours (8:30-4:30) and times must be consistent.
