Description:

We are offering a contract to hire employment opportunity for an Accounting & Office Coordinator to join our team in the construction industry in Menlo Park, California and San Jose, California. As an Accounting & Office Coordinator, you will provide essential administrative and accounting support to our project team, ensuring the smooth running of day-to-day activities on the project site. You will be tasked with office management, subcontract administration, budget and cost control, and processing of various invoices and documents.

SKILLS:

  • Proficiency in Accounting Software Systems, CaseWare, Concur, and other Accounting Functions.
  • Experience in Accounts Receivable (AR) and Auditing.
  • Proficiency in Bank Reconciliations.
  • Proficiency in Accounting Software Systems is required.
  • Familiarity with CaseWare is essential.
  • Experience with Concur is necessary.
  • Understanding of Accounting Functions is crucial.
  • Knowledge of Accounts Receivable (AR) is important.
  • Auditing skills are needed.
  • Ability to perform Bank Reconciliations is a must.
  • Minimum of 2 years of experience in a similar role.
  • Candidates should be able to demonstrate excellent communication and organizational skills.
  • Ability to work independently and within a team.
  • Ability to handle confidential information with discretion.
  • Familiarity with construction or contracting industry is desirable.

Responsibilities:

  • Act as a project liaison, answering phone calls, responding to requests, and welcoming visitors.
  • Maintain the field office services, managing supplies and ensuring the proper functioning of all office systems.
  • Enter and maintain project budgets in the company’s financial system and work with the Project Management team to process and upload all budget, change order, and cost adjustments.
  • Ensure that all financial documents are prepared and maintained according to company standards.
  • Issue and track subcontract changes, ensuring all subcontract compliance documentation is collected and reviewed for completeness.
  • Analyze and track subcontractor and sub-tier lien waivers, documenting and tracking payment deficiency items until cleared.
  • Collect union payroll weekly and upload it to the financial system for processing by the required deadlines.
  • Work with the Superintendent to reclass and move equipment into the correct scopes/cost codes.
  • Prepare and process journal entries for cost adjustments and prepare monthly client billings with the Project Manager.
  • Ensure project team is following SOX requirements for documentation, signatures, and processes.
