CORE RESPONSIBILITIES Reporting to the Executive Director for Finance, the Supervisor - Accounting oversees all aspects of accounting performed by each of the schools in the District. The incumbent provides training and guidance to school-based staff and performs internal audit services on school accounts. Core duties include supervising five (5) accounting staff (unionized employees), fulfilling statutory reporting, supporting schools and internal departments, as well as maintaining systems of internal audit. Specific responsibilities include the following: Accounting and Internal Audit Developing and implementing policies and procedures to support the accounting and reporting functions for the organizations schools.
Developing and implementing policies and procedures related to internal controls, financial accountability, safeguarding of assets at school sites. Maintaining the School Accounting Handbook, provides training to school-based administrators on the Districts financial procedures and processes. Updates the handbook for changes as required to reflect changes in District administrative procedures. Assists the Manager, Financial Reporting in the preparation of the School Budget Reference Manual.
Provides input into the document and ensures consistency with the School Accounting Handbook. Reviewing journal entries and account reconciliations. Preparing ad-hoc reporting and analysis. Overseeing the periodic audit of school accounts.
Developing a testing plan, determining the frequency of reviews and reporting results. Reporting and Relationship Building with Stakeholders Managing relationships and liaising with internal management, donors, and external agencies. Supporting District staff responsible for donations and provided guidance to ensure compliance with regulatory and reporting requirements of donations, and for compliance with tax rules and regulations. Preparing required reporting under the Financial Information Act and Income Tax Act.
Includes the preparation of the annual Statement of Financial Information for the District. Liaising with external auditors, and the Districts bank. Advisory and Communication Supporting department managers in preparing grant applications and reports to funding agencies Works with department managers to ensure that donations are accounted for correctly and monitors the preparation and distribution of donation receipts. Advising on internal control risks and deviations while proposing corrective actions.
Systems Management Oversee the effective operation of the Kev financial system used by schools, which is the financial information systems used for school accounting. Designing, implementing, and maintaining accounting and fund collection systems in schools, and systems for donation collection and receipting. Ensure that financial transactions in individual schools are reported accurately in the Districts financial reports.
