Here’s what you’ll be doing as an Accounts Payable Assistant:
The role of the Accounts payable assistant is to support the daily operations of Stella’s Head Office financial team. The AP assistant performs administrative tasks, ensures a smooth flow of communication between Stella’s Head Office and Suppliers/Vendors, organizes and creates internal invoices, ensures smooth financial operations and assists with other administrative tasks as required. The AP assistant is an essential part of the office team, completing all tasks assigned in a timely manner, supporting the Head Office team in all capacities.
Duties and Responsibilities
- Assist the Financial Analyst, by supplying daily updates on internal and supplier invoices.
- Prepare and process internal invoices, supplier invoices and any relatable tasks as needed.
- Prepare and process internal and supplier credit invoices.
- Communicate with various vendors regarding invoice inquiries, credit invoices, and issue resolution.
- Prepare inventory reports, based on accounts payable and internal data entry.
- Identify opportunities for process improvements to enhance efficiency and accuracy within the accounts payable functions.
- Prepare and provide reports, related to warehouse data and receivables
- Prepare HR related reports and other duties assigned by the HR team
- Provide support to the Head Office team as needed.
Qualifications:
- Secondary school diploma required
- Proficiency in using Microsoft Office Suite (Excel, Word, Outlook).
- Strong with, mathematical skills, good with figures.
- Attention to detail and a high level of accuracy in data entry and recordkeeping.
- Effective communication skills, both written and verbal.
- Ability to prioritize tasks, meet deadlines, and work independently or as part of a team.
- Previous experience in accounts payable or related financial roles is preferred.
- Ability to learn quickly, highly motivated with a strong sense of responsibility.
